Natchaug Hospital is Eastern Connecticut’s leading provider for children, adolescents and adults with mental illness and substance abuse addictions. Job Summary

Regulatory Data Specialist is responsible for the monitoring, analysis, and reporting of client-related data. The Specialist will help ensure the quality and accuracy of the data and is responsible for its timely submission to State and Federal regulatory agencies.

The Regulatory Data Specialist also works collaboratively with State and Federal regulatory agencies and internal Leadership Teams to audit and ensure documentation in the electronic health record (ie. treatment plans, intakes, and discharges) meets program and regulatory requirements, using regulations published by the agencies. Reports to Director of Ambulatory Services.

Key areas of responsibility

Regulatory and State Agency Reporting:

• Identifies and investigates data discrepancies within reporting systems, collaborating with Program Managers to resolve issues and ensure timely and accurate submissions.

• Escalates data reporting issues or risks to appropriate leadership and supports the development and implementation of corrective action plans
• Compile and submit required data to state and federal regulatory agencies utilizing reporting systems.
• Analyzes and reports fidelity scores and key quality indicators to internal leadership teams to inform decision-making and performance improvement efforts
• Serves as a primary point of contact for state and federal regulatory representatives, facilitating communication and ensuring fulfillment of reporting obligations.

Chart Auditing:

• Monitors and analyzes client-related data and outcome measures and, following reference materials, conducts audits of electronic health records to ensure accuracy and completeness of documentation.
• Investigates and manages data error reports, verifies the integrity of information within client records, and collaborates with appropriate staff to obtain clarification and implement necessary corrections

Colleague Training:

• Provide established training to staff and management on regulatory reporting requirements and standards for Department of Drug & Alcohol Programs (DDAP), Provider Information Exchange (PIE), etc.
• Educates staff on importance of accurate and compliant documentation within various reporting systems (Substance Abuse Treatment Information System (SATIS), National Outcome Measures (NOMS), etc.) ensuring alignment with DDAP, Department of Children & Family (DCF), and Extended Day Treatment (EDT) PIE data requirements

• Bachelor's degree in Mental Health or related field
• 3 years' experience in using an electronic health record or CT State reporting systems, prefer knowledge of DDAP, DCF PIE or EPIC systems
• Proficient in MS Word, Excel and PP
• Ability to multi-task in fast paced environment
• Good interpersonal and written communication skills

• Knowledge of State and Federal Regulatory Systems and reporting (ie. DDAP, DCF PIE, Ohio Scales, MARS)
