Job Description - Administrative Assistant

About the Role

Backus Properties is a well-established, family-oriented property management firm known for delivering personalized, high-touch service to property owners and tenants across Monterey County. We are seeking a reliable, detail-oriented Administrative Assistant to join our close-knit team. This role is central to keeping our operations running smoothly, supporting our Property Managers, and ensuring outstanding service to clients in a collaborative, professional environment.

 

Key Responsibilities

  • Serve as a welcoming first point of contact by professionally answering phones, responding to emails, and addressing inquiries from tenants, owners, and vendors with courtesy and efficiency.
  • Manage calendars, schedule appointments, coordinate meetings, and handle general office correspondence.
  • Maintain accurate and well-organized tenant files, lease documents, property records, and digital databases.
  • Assist with lease administration, including preparing applications, renewals, notices, and related paperwork.
  • Help coordinate maintenance requests and work orders, liaising with vendors and service providers as needed.
  • Support marketing efforts for rental listings, prepare reports, and perform data entry with a high degree of accuracy.
  • Provide administrative backing for bookkeeping, rent processing, and real estate transaction support when required.
  • Contribute to a positive team atmosphere by taking initiative on projects and assisting colleagues as opportunities arise.

Qualifications and Requirements

  • High school diploma or equivalent; associate degree or relevant coursework is a plus.
  • 1–3 years of administrative experience, preferably in real estate, property management, or a customer-focused office setting.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort learning property management software.
  • Excellent verbal and written communication skills, with a polished, professional demeanor.
  • Highly organized, proactive, and able to manage multiple priorities while maintaining attention to detail.
  • Bilingual (English/Spanish) abilities are highly valued given our diverse community.
  • Valid California driver’s license and reliable transportation for occasional field support.
  • Commitment to fairness, confidentiality, and compliance with all housing regulations.

 

Compensation and Benefits

We offer a competitive compensation package reflective of experience and skills:

  • Base Pay: Typically ranges from $44,000 to $59,000 annually (or $21–$28/hour), depending on background and qualifications.
  • Comprehensive benefits including health, dental, and vision insurance.
  • Paid time off, holidays, and potential performance-based bonuses.
  • Opportunities for professional growth, including support for real estate licensing if desired.
  • A supportive, stable work environment with a standard Monday–Friday schedule (office hours approximately 9:00 AM – 4:30 PM).
