Job Description - Administrative Coordinator

The Administrative Coordinator at Gillware is a crucial role within our organization, providing comprehensive admin support to our team and ensuring that the office operates smoothly and efficiently. The successful candidate will be proactive, detail-oriented, and comfortable managing multiple tasks simultaneously in a fast-paced environment.

Responsibilities:

    • Provide administrative support to staff, including email and calendar management, organizing meetings, and handling correspondence
    • Coordinate the planning and execution of company events
    • Manage office supplies inventory and maintenance, ensuring necessary items are stocked and equipment is functioning properly
    • Coordinate and manage travel arrangements for staff members, including transportation and accommodations
    • Handle incoming and outgoing communication, such as mail and deliveries
    • Maintain company filing systems and create administrative reports as needed
    • Assist with the implementation of company policies and ensure staff adheres to these guidelines

Qualifications:

    • Bachelor’s degree in Business Administration or a related field
    • Minimum 2 years of experience in administrative roles
    • Exceptional written and verbal communication skills
    • Strong organizational and multitasking skills with a keen eye for detail
    • Experience in managing calendars and coordinating meetings
    • Proficient in Microsoft Office Suite and other office management tools
    • High levels of confidentiality and discretion
    • Ability to work independently with minimal supervision
