Job Description - Assistant Project Manager

E-SQUARE BUILDING GROUP is seeking a motivated, organized, and detail-oriented Assistant Project Manager (APM) to support the successful planning and execution of construction and building projects. The Assistant Project Manager will work closely with Project Managers, Superintendents, subcontractors, vendors, clients, architects, and internal teams to help ensure projects are completed safely, efficiently, on schedule, within budget, and according to established quality standards.

This is an excellent opportunity for a construction professional who wants to develop project management expertise while taking an active role in the day-to-day coordination of construction projects. The ideal candidate will be proactive, organized, comfortable communicating with multiple stakeholders, and capable of managing competing priorities in a fast-paced environment.

The Assistant Project Manager will assist throughout the project lifecycle, including preconstruction, procurement, scheduling, documentation, subcontractor coordination, cost tracking, project closeout, and client communication.

Key Responsibilities

Project Coordination

  • Assist Project Managers with planning, organizing, and coordinating construction projects from preconstruction through completion.
  • Maintain project schedules and monitor progress against established milestones.
  • Coordinate information between project managers, field personnel, subcontractors, suppliers, consultants, and clients.
  • Track project deadlines, deliverables, inspections, approvals, and outstanding items.
  • Identify potential schedule, cost, or coordination issues and communicate them to the Project Manager.
  • Participate in project meetings and prepare meeting notes, action items, and follow-up documentation.
  • Help ensure project teams have the information and resources required to keep work progressing.

Construction Administration

  • Assist with preparation and maintenance of project documentation.
  • Organize contracts, purchase orders, change orders, invoices, schedules, submittals, RFIs, drawings, and other project records.
  • Review project documentation for completeness and accuracy.
  • Assist with processing RFIs, submittals, change orders, and other construction correspondence.
  • Maintain organized electronic project files and ensure important documents are readily accessible to the project team.
  • Support project closeout activities, including warranties, punch lists, final documentation, and turnover materials.

Subcontractor & Vendor Coordination

  • Communicate with subcontractors and vendors regarding schedules, material requirements, documentation, and project deliverables.
  • Assist with subcontractor onboarding and documentation.
  • Monitor subcontractor commitments and identify potential delays or conflicts.
  • Coordinate material deliveries and help track long-lead items.
  • Work with the Procurement Coordinator and project team to ensure materials arrive when required.
  • Follow up on outstanding vendor and subcontractor issues and provide status updates to management.

Cost & Budget Support

  • Assist Project Managers with monitoring project budgets and commitments.
  • Track purchase orders, invoices, subcontractor costs, and change orders.
  • Help compare actual project expenses against budgets and estimates.
  • Assist in reviewing vendor and subcontractor pricing.
  • Maintain accurate cost-related documentation.
  • Identify discrepancies and escalate financial concerns to the Project Manager.
  • Support the preparation of project cost reports and forecasts.

Scheduling & Field Support

  • Assist with developing and maintaining project schedules.
  • Coordinate with field teams to track construction progress.
  • Help identify scheduling conflicts and potential delays.
  • Follow up on required inspections, approvals, deliveries, and subcontractor activities.
  • Support Project Managers and Superintendents in resolving day-to-day project coordination issues.
  • Visit project sites when required to observe progress, attend meetings, coordinate activities, or assist with documentation.

Client & Team Communication

  • Maintain professional communication with clients, consultants, subcontractors, vendors, and internal personnel.
  • Provide timely project updates when requested.
  • Help prepare progress reports, presentations, and project status updates.
  • Ensure important project information is communicated to the appropriate team members.
  • Maintain a professional and solutions-oriented approach when addressing project challenges.

Required Qualifications

  • 2+ years of experience in construction, project coordination, project administration, or a related field.
  • Bachelor's degree in Construction Management, Engineering, Business, Architecture, or a related discipline preferred but not required.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Strong attention to detail and follow-through.
  • Ability to manage multiple projects, deadlines, and priorities.
  • Proficiency with Microsoft Office, Google Workspace, spreadsheets, and project documentation systems.
  • Ability to read and understand basic construction drawings, specifications, schedules, and project documents.
  • Ability to work independently while collaborating effectively with remote and field-based teams.

Preferred Qualifications

  • Experience with residential, commercial, renovation, or general contracting projects.
  • Knowledge of construction estimating, procurement, scheduling, and subcontractor coordination.
  • Experience with construction software such as Procore, Buildertrend, CoConstruct, Autodesk Construction Cloud, or similar platforms.
  • Familiarity with RFIs, submittals, change orders, purchase orders, pay applications, and project closeout procedures.
  • OSHA or other construction-related certifications are a plus.
  • Previous experience working in a general contractor or construction management environment is preferred.

 

Candidates with limited project management experience may be considered toward the lower end of the range, while candidates with substantial construction coordination experience, strong software skills, and demonstrated project-management capabilities may qualify for compensation toward the upper end.
