Position: Bookkeeping Operations Manager

Location: This is a remote position, allowing for flexibility in your work environment. While we have a preference for candidates located in the Philippines, we remain open to applications from talented individuals across the globe. It is important to note that payroll processing responsibilities must be conducted through a US-based system.

Experience: Candidates should possess a substantial background with 10 to 15 years of experience in a leadership role as an Operations Manager specifically within the bookkeeping and accounting fields. This extensive experience should encompass a thorough understanding of the nuances and best practices that drive successful bookkeeping operations.

Industry: We operate within the dynamic arena of multi-client virtual bookkeeping, managing a diverse portfolio of approximately 150 to 200 clients each month. This role will involve overseeing the intricacies of bookkeeping for multiple clients simultaneously, ensuring accuracy and compliance in all financial reporting.

Key Responsibilities:

• Oversee and manage bookkeeping operations for 150–200 virtual clients monthly.
• Complete month-end bank reconciliations and ensure seamless month rollover.
• Review and spot errors in subordinates’ work, providing coaching and quality control.
• Ensure accurate financial record-keeping and compliance for clients in various sectors (non-profits, music academies, construction, real estate, mortgage, etc.).
• Manage and allocate deposits, journal entries, and donor records for non-profit clients.
• Oversee payroll processing using multiple US-based payroll platforms (Gusto, ADP, Netchex, Paychex, Northstar, BambooHR, Sure Payroll).
• Use and manage QuickBooks Online exclusively; certification preferred.
• Handle complex client-specific platforms and workflows, including:
• National Realtor Association: Tag ACH deposits, match transactions to client IDs, and use Growthzone for payment identification.
• Growthzone: Research payments and client data.
• FundraiseUp, Benevity, Auth.net, Ramp Credit, Stripe: Track and reconcile donations and payments for non-profit clients.
• Mind Body (Music Academies): Pull monthly reports and allocate revenue via journal entries.
• Service Titan (Construction): Pull payment reports and coordinate with internal staff for data entry.
• Mortgage sites: Retrieve and manage amortization schedules.
• Maintain donor profiles and ensure compliance with year-end tax requirements for non-profits.
• Communicate clearly and professionally with clients and team members, both verbally and in writing, with little to no accent.
• Required Skills & Qualifications:
• 10–15 years’ experience as an Operations Manager in bookkeeping or accounting.
• Extensive expertise in QuickBooks Online (certification preferred).
• Proven ability to manage large-scale virtual bookkeeping operations.
• Strong quality control and error-spotting skills.
• Experience with US payroll platforms (must be US-based for payroll processing).
• High proficiency in English; excellent verbal and written communication with minimal accent.
• Ability to quickly learn and adapt to industry-specific platforms (Growthzone, FundraiseUp, Benevity, Auth.net, Ramp, Stripe, Mind Body, Service Titan, etc.).
• Strong organizational skills and attention to detail.
• Ability to handle sensitive and confidential information with integrity.
