POSITION SUMMARY
The specialist provides logistical and administrative support to ensure that CalWORKs-eligible families can access child care. They will guide families through the enrollment process, starting from the referral made by the Human Services Agency to the Children's Council. The specialist will establish new family records and assign them to staff members. Additionally, the specialist will support families who have applied for CalWORKs but may not be eligible for services. They will assist these families in applying for various subsidies and support them throughout the application, childcare search, and enrollment process. The specialist will also serve as the backup to the Family Support Coordinator.
This position operates in a 3/2 hybrid work model working 3 days in office and having the option to work 2 days from home.

PROGRAM SUPPORT
· Supports collaboration and co-location program with San Francisco Human Services Agency by outreaching to relevant parties regarding subsidy eligibility and program preferences.
· Educates families about available childcare programs and quality childcare indicators
· Provides child care referrals for families based on program preferences
· Input and/or migrates family information in our childcare voucher software systems, and inputs notes on work completed.
· Assigns new childcare voucher families to staff with following funding regulations
· Regularly tracks the number of cases assigned to each staff member and shares this information with the management team when concerns arise regarding language capacity and caseload limits.
· Generates data reports related to childcare voucher caseloads, such as timeframe of enrollments, language needs and other trends.
· Informs management team on recently assigned cases and those families that are pending.
· Helps the manager with collecting data that is needed for funders on a monthly, quarterly, bi-annual, and annual basis.
· Provides backup support when the Family Support Coordinator is on approved time off or sick leave. This would entail prioritizing assigning urgent cases while enabling the CalWORKs Specialist to maintain their regular duties in a reasonable timeframe. The time allocated for backup will be agreed upon through a discussion between the specialist and the manager.
QUALIFICATIONS
· At least 2 years of professional work experience, preferably in social services.
· English/Spanish fluency to inform clients of our procedures and programs.
· Experience working closely with the public where providing excellent customer service is key.
· Strong listening and communication skills. Must have the ability to adapt communication style to meet the individual client needs.
· Experience navigating client interaction and multiple distractions.
· Proficiency with data entry, database navigation, spreadsheet creation, and Microsoft Office Suite products.
· A background clearance is required.
PHYSICAL REQUIREMENTS
· Must be able to remain stationary for extended periods of time.
· Must be able to move throughout the office, access files, meet with clients, and climb four flights of stairs if needed.
· Requires the mental acuity to perform the essential functions as outlined in an accurate and timely fashion.
