Organizational Description: The mission of Women Building Up (WBU) is to advance gender, racial, and social justice by supporting women, girls, and gender-expansive people whom carceral systems have directly impacted. We support them in claiming their power and becoming agents of transformative change in their communities and the world.
WBU is a 501(c)(3) nonprofit organization founded by a committee of 50 women (cis, trans, nonbinary, and gender expansive), many of whom experienced incarceration, and all of whom are courageous leaders, activists, and passionate visionaries contributing to the growth of larger grassroots movements that advance justice for women. WBU owns and operates its building in Brooklyn, NY. WBU recognizes that people directly impacted by systems of incarceration bring invaluable perspectives and skills. Position Summary: This is an entry level Director role with opportunity for growth with successful execution. The Director, Finance and Administration, will be an essential thought and implementation partner as WBU builds out its finance and administration infrastructure. Reporting to the Managing Director, Finance and Administration, the successful candidate will be a hands-on and participative team member and will provide leadership and support in the areas of finance, budgeting, compensation, and benefits administration. This includes supporting the oversight of partially outsourced finance and human resources functions.
Essential Duties and Responsibilities: Financial Management
Prepare, analyze and present internal and external financial reports in an accurate and timely manner; prepare and clearly communicate monthly and annual financial statements; collate financial reporting materials for all donor segments, and oversee all financial, project/program and grants accounting
Play a leadership role in the annual internal budgeting and planning process, develop budgets and projections
Provide budgets for grant proposals and reports; work with colleagues to ensure grant compliance
Manage organizational cash flow and forecasting, maintain cost allocation framework, ensure GL data quality and timely monthly close, and work with staff to ensure that the contract billing and collection schedule is adhered to
Perform day to day accounting functions, including monthly close, bank reconciliations and credit card reconciliations, reviewing financial transactions processed by accounting support, and as needed data entry and finance administrative tasks such as AP/AR processing, invoice creation and submission, coordination of purchasing
Coordinate and lead the annual audit process and tax filings, liaise with external auditors; assess any changes necessary
Manage relationships with external vendors including auditor, bank, and investment advisor
Ensure appropriate internal controls and financial procedures, updating and implementing all necessary business policies and accounting practices including WBU’s policy and procedures manual
Ensure that accounting software programs are secure and operational, and work to assess and incorporate new technologies
Support the enhancement of WBU’s financial infrastructure, including contributing to the development of a robust contracts management and financial management/ reporting system
Support the renewal and maintenance of organizational insurance policies
Stay current on developments in the field, including changing regulations that impact ours and our community’s work
Perform other related duties as assigned
Compensation and Benefits Administration
Support overall personnel management, including refinement and implementation of personnel policies and benefits, compensation review, hiring and terminations
Manage recruitment, incl. posting open positions, managing the interview process, and orienting new employees
Maintain Employee Handbook, updating it as needed from time to time
Monitor performance review calendar and procedures, updating as needed from time to time
Maintain personnel records and vigilantly protects employee confidentiality
Administer payroll and benefits through PEO provider
Manage the PEO relationship; periodically evaluates and rebids agreements with PEO and benefits providers to maximize value to the organization
Work with 401(k) plan administrator to manage plan and ensure compliance
Facilitate accurate and timely delivery of employer contributions and employee payroll deductions to carriers, plan administrators, or other appropriate service providers
Ensure organizational and staff compliance with all local, state, and federal human resource requirements

Location: This is a hybrid position. The Finance Director must be present in the Brooklyn office 3 days a week, and may work remotely 2 days a week, subject to the needs of their primary work responsibilities and commitments.
Required Knowledge, Skills, and Abilities:
Bachelor’s degree., ideally with a CPA and/ or related professional accounting experience
At least 3-5 years of overall nonprofit financial management experience.
At least 2 years experience managing HR payroll and benefits and/ or PEO/ outsourced HR and benefits providers
Demonstrable experience:
developing and monitoring budgets
creating and monitoring accounting systems
managing a successful annual audit
managing payroll and benefits
managing contracts / vendors
Firm understanding of GAAP, experience with Quickbooks, BILL.com and Expensify preferred
Proficient in the use of Google Office tools and/ or Microsoft Office Suite, particularly Google Sheets and Excel; adept at learning new software and incorporating new technologies
Ability to translate financial concepts to – and to effectively collaborate with -- colleagues and partners who may not have finance backgrounds
Eagerness to participate in regular staff meetings and shared learning opportunities, and contribute to organizational planning and development
Assumes other related responsibilities and special projects as required
Performs all duties in a manner that promotes Women Building Up’s mission and values
Key Competencies:
Experience working with grassroots efforts that support justice-impacted individuals and/or carceral systems issues.
Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal stakeholders.
Ability to balance multiple projects in a fast-paced environment.
A successful track record in setting priorities; keen analytic, organization and problem solving skills which support and enable sound decision making.
Culturally competent; able to work with people of many identities and backgrounds.
Compensation and Benefits: The salary range for this position in New York City is $100,000 – $120,000 and represents the organization's good faith minimum and maximum range for this role at the time of posting. The actual salary offered will be dependent on various factors, including but not limited to, the candidate's experience, education, relevant certifications, geographic location, market demands, and specific business needs. Generally, candidates are considered for the middle of the salary range when they bring the requisite level of experience and expertise to the role.
