About the role:
We're hiring an Executive Assistant to work directly with our COO.
This is not a scheduling-and-inbox role. You will sit at the centre of how the company actually runs: invoices, payroll coordination, contracts, vendor relationships, company registrations, and the personal administrative matters of the leadership team.
You will see salary data, bank statements, client contracts, passport and immigration documents, and system passwords.
We are looking for someone who treats confidential information as genuinely confidential, who flags a problem the day they notice it rather than the week after, and who can be handed something once and trusted to see it through.
What you'll be doing
Finance and accounting operations — Own the day-to-day money admin: client and supplier invoicing, payment tracking, monthly reconciliation, reimbursements, subscriptions, and the trackers that keep all of it visible.
Payroll coordination — Run the monthly payroll cycle across our locations, working with external providers to make sure everyone is paid accurately and on time.
Contracts and client administration — Prepare customer contracts, manage them through review and signature, and make sure purchase orders and project details are in place before work starts.
People and office administration — Handle the practical side of a distributed team: travel, equipment, visas and immigration paperwork, statutory filings, tool access, and asset records.
Project work — Take on one-off corporate matters and coordinating with external advisors and reporting progress.
What we're looking for
Essential:
2+ years in an executive assistant, operations, or finance administration role
Solid grasp of bookkeeping fundamentals — invoices, purchase orders, reconciliation, payment terms
Genuinely strong Excel/Sheets skills; you build and maintain trackers other people can rely on
Excellent written English and confident direct communication with clients, vendors, and consultants
Proven discretion with confidential financial and personal information
Organised enough to run 15 recurring monthly processes without being reminded about any of them
Comfortable working independently across time zones with a leader
Nice to have:
Experience with Netvisor, Wise, PandaDoc, HubSpot, or similar
Exposure to Nordics / Finnish business administration (YTJ, DVV, Vero) or to international payroll
Experience supporting recruitment
English proficiency is a must
