Job Description - Grants Manager


PURPOSE STATEMENT

To oversee the lifecycle of Ayuda’s grant funding by identifying opportunities, coordinating applications, ensuring compliance, and managing reporting to support the Ayuda’s strategic goals and financial sustainability. 

ORGANIZATIONAL PROFILE 

Ayuda is a 501 (c)(3) nonprofit organization dedicated to providing direct legal, social and language access services, education, and outreach to low-income immigrants in the Washington, DC metropolitan area. Since 1973, Ayuda has provided critical services on a wide range of issues, in the process acquiring nationally recognized expertise in several fields including immigration law, language access, domestic violence and human trafficking. Ayuda has office locations in Washington, DC, Silver Spring, MD and Fairfax, VA.

WHAT WILL THIS JOB ENTAIL? 

Core responsibilities of the position include the following. Other duties may be assigned. 

Proposal Management: 

• Serve as the lead and facilitator for Ayuda’s government proposals 

• Write competitive government and foundation grant applications 

• Manage Ayuda’s grant application calendar 

• Review and edit applications written by Grant Coordinator 

• Develop proposal plans and lead planning meetings with program staff and program finance team 

• Set proposal deadlines and follow up with proposal team members to ensure all tasks are completed on time 

Grant Management and Reporting: 

• Lead grant award process for successful proposals in accordance with Ayuda’s grant notification procedures 

• Manage grant reporting calendar and ensure that all reports are submitted to funders on time 

• Prepare foundation grant reports and support program staff in drafting government grant reports 

• Draft foundation grant reports; submit grant reports through funder portals 

• Review data for reports to ensure compliance with funder requests and accuracy.  

• Support Ayuda’s directors and managers with grant compliance, with a particular focus on government grant compliance 

• Collaborate with program staff to track grant deliverables and progress towards grant goals 

• Collaborate with the program finance team and review budget narratives.  

Grant Stewardship: 

• Successfully communicate a strong understanding of Ayuda’s programs and strategic plan to funders 

• Contribute to Ayuda’s strategy to grow foundation and government grant funding 

• Represent Ayuda at meetings with supporters and potential supporters, including site visits and cultivation meetings 

Other: 

• Supervise the Grant Coordinator 

• Manage grant resources in SharePoint (Helpful Grant Language, Common Attachments, staff resumes) 

• Evaluate and provide thought partnership to improve processes in the grant cycle at Ayuda 

• Provide training to Ayuda staff on grant seeking and management 

• Support coordination with Program, Finance and Operations staff across all Ayuda offices and collaboration with Development staff on foundation grant writing. 


Requirements

HOW DO YOU KNOW IF YOU CAN DO THIS JOB? 

This position is hybrid and will include both in-person and remote workdays.  Travel to Ayuda offices in Washington, D.C.; Silver Spring, M.D.; and Falls Church, V.A. may be required to meet with program and administrative staff in person.

Eligibility:

• Must be legally able to work in the United States and maintain proper work authorization throughout employment.

• Must be able to meet the physical requirements of the position presented in a general office environment.

Education/Experience/Skills

Required: 

• Three to five years of grant writing experience, including government grant applications 

• Experience managing grants and contracts in the nonprofit sector 

• Excellent writing and communication skills including: 1) demonstrated ability to write clear, structured and persuasive grant proposals and reports; 2) a strong grasp of English grammar, punctuation, and proofreading skills; 3) ability to speak effectively about Ayuda’s programs and impact; 4) excellent interpersonal and strong communication skills and ability to collaborate effectively with colleagues across programs 

• Ability to effectively manage competing priorities and deadlines including: 1) Ability to balance staff supervision and grant writing/grant management tasks; 2) ability to prioritize projects with various deadlines and requirements; 3) ability to seek answers independently using resources and available support; 4) flexibility and creativity to adapt to changing situations 

• Highly organized and detail oriented  

• Experience supervising staff members and/or interns  

• Knowledge about grant budgeting to partner effectively with the Program Finance Team to ensure grant budgets and budget narratives are accurate and increase competitiveness for funding  

• Technology Skills including: 1) ability to use databases; 2) skilled use of Microsoft office (Word and Excel) and Outlook email; 3) ability to use funder portals 

SALARY AND BENEFITS: 

The anticipated annual salary for this position is $70,000 to $87,500, depending on experience.

• 12 weeks paid parental leave/family leave 

• 24 days paid holidays and staff wellness days, including Winter Break the last week of the year 

• Job-related professional development fees (including annual state bar dues and professional memberships) 

• Flexible work schedules 

This position is exempt for overtime purposes.
