The Tennessee Valley Railroad Museum (TVRM) is a nonprofit organization dedicated to preserving, operating, and interpreting historic railroad equipment while educating the public about the region’s railroad heritage. TVRM combines active rail operations with museum best practices to connect audiences with transportation history in meaningful ways.
The Information Management Assistant supports the organization, accuracy, and accessibility of institutional data and records across the Tennessee Valley Railroad Museum. This role assists with maintaining databases, records, and documentation related to collections, operations, administration, and historical materials. The position works collaboratively with staff and volunteers to ensure information is consistent, well-organized, and usable for daily operations, reporting, and long-term preservation.
Data & Records Support
Assist in maintaining and updating organizational databases, spreadsheets, and record systems
Enter, verify, and organize data related to collections, assets, memberships, donors, or operations
Support records organization for physical and digital files in accordance with established policies
Documentation & Quality Control
Help standardize forms, templates, and documentation practices
Review records for accuracy, completeness, and consistency
Assist with version control and file-naming conventions for shared digital resources
Digital File Management
Organize and maintain digital files, including scanned documents, images, and reports
Assist with basic digitization efforts such as scanning and metadata entry
Support backup, retention, and access procedures for digital information
Collaboration & Support
Work with staff across departments to gather, update, and retrieve information
Provide administrative and clerical support related to information requests
Assist with training staff and volunteers on basic information and records procedures
Special Projects
Support audits, inventories, or data cleanup projects
Assist with reporting and information preparation for grants, compliance, or leadership review
Perform other related duties as assigned
Required
High school diploma or equivalent; associate’s or bachelor’s degree preferred
Strong organizational skills and attention to detail
Basic proficiency with Microsoft Office, Google Workspace, or similar tools
Ability to manage multiple tasks and follow established procedures
Strong written and verbal communication skills
Preferred
Experience with databases, records management, or information systems
Familiarity with museum, nonprofit, or archival environments
Experience with scanning, digitization, or data entry projects
Interest in history, museums, or preservation work
