Junior / Staff Accountant, Client Accounting Services


Location: 100% Remote

Salary Range: $1.800 - $2,800 Usd Based on Experience


Employment Type: Independent Contractor Agreement

Schedule: Monday–Friday, 9:00 AM – 5:00 PM ET


Reports to: Supervising CPA, Client Accounting Services

We are a specialized consulting and accounting firm that supports agencies serving individuals with developmental and intellectual disabilities, autism spectrum disorder, and other special needs. For these agencies, we handle the detailed administrative, fiscal, and accounting work — accounting, bookkeeping, revenue cycle management, cost reports, budgets, reimbursement analysis, waiver requests, and state reporting — so their clients can focus on delivering quality care.


This role sits within our Client Accounting Services team — the group that maintains the day-to-day books for these agency clients.


About the Role


We are a growing the Client Accounting Services practice and hiring an accountant to own the ongoing books for a portfolio of client agencies. You will work directly under a CPA and, because these are client-facing engagements, you will have regular exposure to the clients themselves — so clear communication and a professional presence matter as much as technical accuracy.


This is not a data-entry seat. You are the person who keeps each client's financials clean, current, and audit-ready month over month, and who can explain what the numbers mean. The role rewards someone who takes ownership, catches issues before they become problems, and can be trusted to run their book of clients with limited hand-holding.


Key Responsibilities


Client Bookkeeping & Monthly Close (QuickBooks Online)



  • Maintain accurate, current books for an assigned portfolio of client agencies in QuickBooks Online

  • Record and categorize transactions, reconcile bank and credit card accounts, and complete monthly close

  • Keep each client's ledger clean and ready for review by the supervising CPA


Accounts Payable & Expense Management



  • Manage accounts payable and approval workflows (Bill.com, Ramp)

  • Classify and monitor key expense categories such as rent and overhead, ensuring accurate coding

  • Reconcile corporate card activity and flag anomalies


Payroll Support



  • Process and reconcile payroll and coordinate with client contacts (ADP, Gusto)


Financial Reporting & Analysis



  • Prepare and interpret Profit & Loss statements and other financial reports for clients and the CPA

  • Regroup income statement items to meet specific client and state reporting requirements

  • Deliver clean, decision-ready financials on a predictable monthly cadence


Compliance & Audit Support



  • Help clients meet state-specific financial reporting requirements for their programs

  • Prepare financial data for audits, cost reports, and inspections as needed

  • Serve as an accuracy check against source records, surfacing discrepancies early


Data Integrity & Documentation



  • Validate financial data before submission and reconcile discrepancies

  • Maintain organized records of analysis, methodologies, and reporting processes for internal use and continuity


Client Communication



  • Communicate directly and professionally with clients on the status of their books and reporting

  • Translate financial detail into clear answers a non-accountant client can act on


Required Qualifications



  • Bachelor's degree in Accounting, Finance, Economics, or a related field (or equivalent hands-on experience)

  • 2+ years of hands-on, full-cycle QuickBooks Online experience

  • Excellent written and spoken English, with a polished, client-ready communication style

  • Strong Microsoft Excel skills (formulas, pivot tables, data analysis)

  • Solid working knowledge of core financial statements, particularly P&L


Preferred Qualifications



  • Experience with any of Ramp, Bill.com, ADP, and Gusto

  • Background in an outsourced accounting, bookkeeping, or client accounting services firm managing multiple clients at once

  • Exposure to US GAAP and to nonprofit, grant-funded, or government-reimbursed program accounting

  • Familiarity with state-specific financial forms and compliance reporting
