Marketing Administrative Assistant

Our client is a boutique Australian marketing agency that specialises in brand strategy, technical content marketing, executive profiling, and event management. They primarily service industry-leading businesses within the manufacturing, engineering, and defence sectors. Operating with a professional and collaborative culture, they function as an outsourced marketing department for clients looking to grow both locally and internationally.

They are now seeking to hire a Marketing Administrative Assistant to provide comprehensive support to the Managing Director and the wider marketing team. This role exists to streamline internal operations and ensure the seamless execution of digital marketing campaigns, content coordination, and general administrative workflows.

Job Responsibilities

Administrative Support

• Manage daily administrative tasks including meeting scheduling and email management
• Assist the Managing Director with daily task coordination, scheduling, and follow-ups
• Attend internal team meetings to capture accurate minutes and update action items in ClickUp
• Support general office administration, file organisation, and internal documentation
• Assist with the preparation of client reporting and basic research tasks
• Maintain and update internal staff records within BrightHR

Marketing & Content Coordination

• Schedule and publish digital content across social media channels using Sendible
• Maintain and monitor the agency content calendar to ensure timely publication
• Support the execution of newsletters and email marketing campaigns via HubSpot and Mailchimp
• Perform basic website updates and simple page modifications within WordPress
• Develop presentations, proposals, and marketing offers based on briefs from internal meetings
• Assist the marketing team with general campaign execution and reporting analytics

Canva Design & Creative Support

• Design high-quality LinkedIn banners, documents, and promotional marketing collateral
• Create engaging carousels and basic GIFs for LinkedIn and other social platforms
• Perform simple video editing and formatting to match brand guidelines
• Ensure all designed materials maintain strict brand consistency and a professional look

• Proven experience in an administrative support, marketing assistant, or executive assistant role
• Professional proficiency in Canva with experience creating carousels, banners, and basic video edits
• Intermediate Microsoft Excel skills with the ability to comfortably utilize standard formulas
• Strong proficiency across Microsoft Office including Outlook for email and calendar management
• Exceptional written and verbal communication skills with high attention to detail
• Strong organizational and time management skills to handle competing tasks and deadlines
• High level of professionalism with a strict respect for data privacy and confidentiality

Nice-to-Have Skills

• Prior experience working within a marketing agency environment
• Previous experience using ClickUp for project tracking and internal task management
• Familiarity with social media scheduling tools such as Sendible
• Exposure to marketing automation platforms like HubSpot or Mailchimp
• Basic knowledge of WordPress for simple website updates
• Experience with the Adobe Creative Suite
