The Operations / Administration Officer is a key operational support role responsible for coordinating core business functions to ensure organizational efficiency, compliance, and continuity. The role focuses on optimizing day-to-day processes across departments, supporting back-office operations, and enabling smooth collaboration between internal stakeholders. This individual will play a central role in supporting operational planning, executing administrative systems, and ensuring consistency across Accounting, HR, Office Management, and Compliance/Legal processes.
Key Responsibilities:
Operations & Administration
Coordinate daily operational activities to ensure business efficiency and continuity.
Implement and maintain administrative systems, processes, and procedures.
Liaise with vendors, service providers, and internal teams to support business functions.
Prepare and manage operational reports, documentation, and records.
Accounting Support
Assist with accounts payable and receivable processes, invoice tracking, and reconciliations.
Assist with data collection for financial reporting, audits, and budget monitoring.
Support month-end closing activities and liaise with accountants as required.
Help maintain accurate and up-to-date financial records and documentation.
Human Resources Support
Coordinate recruitment activities including job postings, interview scheduling, and onboarding.
Maintain employee records and support HR compliance and documentation.
Assist with payroll inputs, leave tracking, and benefits administration.
Ensure confidentiality of employee data and compliance with labor regulations.
Assist with HR reporting, training logistics, and employee communications.
Office Administration
Manage office supplies, equipment, and facility-related requests.
Organize meetings, maintain calendars, and arrange travel or logistics.
Handle incoming and outgoing correspondence, both physical and digital.
Ensure the office operates in an orderly, professional, and compliant manner.
Compliance & Legal Administration
Maintain operational compliance registers and assist in managing contracts, licenses, and policy documentation.
Coordinate internal audits and assist in preparing compliance submissions and reports.
Support tracking of legal and regulatory obligations, flagging upcoming deadlines or risks to relevant teams.
Requirements
Education: University degree in Business Administration/Management, Operations Management, or related field.
Experience: Minimum 2-4 years in an administrative or operations support role.
Skills:
Strong organizational and multitasking abilities
Excellent written and verbal communication
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
Knowledge of office management tools and procedures
Analytical thinking and problem-solving skills
Attention to detail and a high level of accuracy
Fluent in English
Preferred Qualifications:
Previous experience in a mid-sized organization supporting multiple departments.
Familiarity with corporate compliance and administrative support
Exposure to ISO standards or operational compliance frameworks is a plus
