E-SQUARE BUILDING GROUP is seeking a highly organized and detail-oriented Procurement Coordinator to support our construction and building operations by managing purchasing activities, supplier relationships, material tracking, and project procurement processes. The Procurement Coordinator will play a critical role in ensuring that construction projects receive the right materials, equipment, and services at the right time, while maintaining cost control and schedule efficiency.
This position is ideal for a professional who understands construction workflows, enjoys coordinating with vendors and project teams, and can manage multiple purchasing activities in a fast-paced environment. The successful candidate will help streamline procurement operations from initial material requests through delivery confirmation and project completion.
Key Responsibilities
Procurement & Purchasing Management
Coordinate procurement activities for residential, commercial, and renovation construction projects.
Review project requirements, material specifications, and purchasing schedules.
Prepare purchase orders, track approvals, and maintain accurate procurement documentation.
Source construction materials, equipment, tools, and subcontractor services from approved vendors.
Compare supplier pricing, availability, lead times, and quality standards to support cost-effective purchasing decisions.
Monitor purchase orders from submission through delivery and resolve delays or discrepancies.
Vendor & Supplier Coordination
Build and maintain strong relationships with suppliers, manufacturers, distributors, and subcontractors.
Request and evaluate vendor quotes, bids, and product information.
Negotiate pricing, delivery schedules, and order terms when appropriate.
Maintain vendor records, pricing databases, and supplier performance information.
Communicate regularly with vendors to confirm order status and delivery timelines.
Construction Project Support
Work closely with project managers, superintendents, estimators, architects, and field teams to understand project needs.
Coordinate material availability to prevent project delays.
Track long-lead materials and provide updates regarding potential schedule impacts.
Assist with procurement planning during preconstruction and project execution phases.
Ensure purchased materials meet project specifications and client expectations.
Inventory & Documentation Management
Maintain accurate records of purchased materials, equipment, invoices, and delivery confirmations.
Track inventory levels and identify upcoming material requirements.
Assist accounting teams with invoice verification and purchase order matching.
Maintain organized procurement files and project documentation.
Support reporting on purchasing activities, costs, and vendor performance.
Cost Control & Process Improvement
Assist in identifying opportunities to reduce procurement costs while maintaining quality.
Monitor material price changes and market conditions.
Support budget tracking by comparing actual purchases against project estimates.
Recommend improvements to procurement procedures and vendor management processes.
Help implement efficient systems for purchasing, approvals, and documentation.
Required Qualifications
2+ years of experience in procurement, purchasing, construction administration, or a related field.
Experience working with construction materials, vendors, or building projects preferred.
Strong organizational skills with the ability to manage multiple projects and deadlines.
Excellent written and verbal communication skills.
Ability to review quotes, invoices, purchase orders, and project documents.
Strong attention to detail and accuracy.
Proficiency with Microsoft Office Suite, Google Workspace, and procurement or project management software.
Ability to work independently in a remote environment while maintaining communication with project teams.
Preferred Qualifications
Experience in residential construction, commercial construction, remodeling, or general contracting.
Knowledge of construction materials, suppliers, and industry terminology.
Experience with construction management platforms such as Procore, Buildertrend, CoConstruct, Autodesk Construction Cloud, or similar systems.
Familiarity with subcontractor coordination and project scheduling.
Excellent time management and organizational skills.
Ability to prioritize urgent purchasing needs.
Professional communication with vendors and internal teams.
Ability to analyze pricing and make informed purchasing decisions.
