About the Role
At Pavago, one of our clients is hiring a Property Maintenance Coordinator to oversee maintenance operations across residential and commercial properties.
This is a fast-paced, coordination-focused role where you’ll manage maintenance requests, schedule vendors, track work orders, and ensure timely resolution of repairs. You’ll serve as the central point of communication between tenants, vendors, property managers, and ownership teams to keep maintenance operations running efficiently.
Responsibilities
Maintenance Coordination
Receive, prioritize, and manage maintenance requests.
Create and track work orders using property management systems.
Monitor requests from intake through completion.
Prioritize urgent maintenance issues and ensure timely resolution.
Vendor Management
Schedule vendors, contractors, and technicians for repairs and inspections.
Coordinate timelines and confirm service appointments.
Verify vendor documentation, licensing, and compliance.
Follow up to ensure work is completed on schedule.
Tenant Communication
Communicate maintenance updates and scheduling with tenants.
Provide timely follow-ups throughout the repair process.
Confirm satisfaction after work is completed.
Escalate emergency or unresolved issues when necessary.
Preventive Maintenance
Schedule recurring maintenance, inspections, and preventive services.
Maintain preventive maintenance calendars and tracking systems.
Identify recurring issues and recommend process improvements.
Support long-term property maintenance initiatives.
Documentation & Reporting
Maintain accurate maintenance records, invoices, and work orders.
Ensure documentation is complete and audit-ready.
Track maintenance costs, vendor performance, and resolution times.
Prepare maintenance reports for leadership.
Required Experience & Skills
2+ years of experience in property management, maintenance coordination, or facilities operations.
Experience using Buildium, AppFolio, Yardi, or similar property management software.
Experience coordinating vendors and managing work orders.
Strong organizational and multitasking skills.
Excellent written and verbal English communication skills.
Proficiency with Google Workspace or Microsoft Office.
Nice to Have
Experience supporting multiple properties or portfolios of 100+ units.
Knowledge of HVAC, plumbing, electrical, or general building systems.
Familiarity with OSHA, safety standards, or property compliance requirements.
