Job Description - Real Estate Operations Support Specialist

As we continue to expand, we’re seeking a detail-oriented and highly organized Operations Support Specialist to join our growing team. This role plays a key part in supporting our real estate transactions by organizing, reviewing, and maintaining critical documentation and ensuring smooth workflow across departments. You will be responsible for processing property-related records, reviewing client forms, updating internal systems, and maintaining consistency in our administrative processes.

 

Responsibilities:

  • Review and process transaction files, client paperwork, and property forms
  • Maintain accurate internal records throughout the sales or leasing process
  • Organize listing information, contracts, and supporting documents for active and closed transactions
  • Support team members with documentation tracking, status updates, and file management
  • Ensure compliance with company policies and regulatory requirements
  • Coordinate with agents, brokers, and third-party vendors to obtain missing information or clarify discrepancies
  • Assist in preparing internal reports and summaries for leadership review
     

Qualifications:

  • High school diploma or equivalent; additional administrative training is a plus
  • Strong organizational skills and high attention to detail
  • Familiarity with real estate or property-related terminology is preferred
  • Proficient in using computers and office software (Microsoft Office, G Suite, or CRM platforms)
  •  Strong communication skills and a proactive mindset
  • Ability to handle confidential information with discretion
