Position Overview

The Sales Coordinator at Trailhead Media provides critical operational, administrative, and strategic support to the sales team. This role ensures smooth sales processes, accurate reporting, effective onboarding, and high-quality marketing and client deliverables. The coordinator serves as a central resource for Strategic Growth Advisors and Portfolio Account Executives, leadership, and cross-functional teams.

Key Responsibilities

Sales Reporting & Analytics

• Prepare and deliver weekly reports for the CEO,      including:
  • Weekly Sales Reports
  • Opportunity Projections
• Support VP of Sales with report creation, data      sourcing, and formatting
• Track and report monthly unsold inventory
• Manage and maintain co-op reporting as needed

Sales Operations & System Management

• Enter and manage SGA/PAE budgets in APX
• Serve as primary point of contact for APX support,      troubleshooting, and training
• Maintain and update sales tools, including:
  • Apparatix
  • MediaRadar
  • Apollo.io
• Develop and maintain APX training materials and      documentation

Account Executive (AE) Support

• Provide day-to-day support to SGAs/PAEs including:
  • Processing vegetation/maintenance requests
  • Managing $0 contracts, rate changes, and       cancellation requests (with VP approval)
  • Supporting invoice coordination with operations
• Act as a resource when AEs are out of office 
• Assist with customer-facing materials:
  • Presentations
  • Flyers
  • Maps
  • Campaigns with multiple locations or special       requirements

    

Sales Development & Marketing Support

• Coordinate creation and updates of:
  • One-sheets
  • Business cards
  • Marketing materials
• Manage marketing requests and self-promotion projects
• Provide co-op support as needed
• Support artwork coordination, mapping needs, and      formatting for proposals and presentations

Onboarding & Training

• Lead onboarding support for new AEs, including:
  • APX training
  • Platform setup (OAAA, GeoPath, HiHello)
• Ensure all onboarding tools, resources, and      memberships are properly configured and maintained

Memberships & Tools Management

• Maintain and update memberships and platforms:
  • OAAA
  • GeoPath
  • HiHello
  • Canva

    

Cross-Functional & Team Support

• Collaborate with Art & Production teams on      project coordination and renewal tracking
• Provide support for leadership and team members      during travel or high-volume periods
• Lead or participate in special projects as assigned

Employee Engagement & Culture

• Manage Employee Recognition Program, including:
  • Employee of the Month
  • Service milestone awards
• Serve as CARE Team Lead, promoting team engagement      and culture initiatives

Qualifications
