We are seeking a highly organized and detail-oriented Remote Scheduling Coordinator to support the daily operations of our law firm. The ideal candidate will be responsible for coordinating attorney calendars, scheduling client consultations, court-related appointments, meetings, and other legal engagements while ensuring efficient communication between clients, attorneys, and staff. This role requires exceptional time-management skills, professionalism, discretion, and the ability to work effectively in a fast-paced legal environment.
Key Responsibilities
Manage and maintain attorney and staff calendars, ensuring accuracy and efficiency.
Schedule and coordinate client consultations, depositions, mediations, hearings, court appearances, and internal meetings.
Communicate with clients, courts, opposing counsel, and third parties to confirm appointments and scheduling arrangements.
Monitor calendar conflicts and proactively resolve scheduling issues.
Send appointment confirmations, reminders, and follow-up communications.
Maintain accurate scheduling records and update case management systems.
Coordinate virtual meetings through platforms such as Zoom, Microsoft Teams, or Google Meet.
Prioritize urgent scheduling requests and adjust calendars as necessary.
Assist with administrative tasks related to case management and legal operations.
Ensure confidentiality and compliance with firm policies and legal industry standards.
Provide exceptional client service through professional and timely communication.
Qualifications
High school diploma or equivalent required; associate or bachelor's degree preferred.
Minimum 1–3 years of scheduling, administrative, legal assistant, or law firm experience preferred.
Strong knowledge of calendar management and scheduling procedures.
Proficiency with Microsoft Office Suite, Google Workspace, and virtual meeting platforms.
Experience with legal case management software is an advantage.
Excellent written and verbal communication skills.
Strong organizational skills with the ability to manage multiple priorities simultaneously.
High level of professionalism, discretion, and attention to detail.
Ability to work independently in a remote environment.
Reliable internet connection and dedicated home workspace.
