Virtual Executive Assistant (Remote)

We are seeking a highly organized, proactive, and resourceful Virtual Executive Assistant to support our executive leadership team. This is not a passive administrative role—we are looking for someone who takes ownership, anticipates needs, solves problems independently, and helps keep our organization running efficiently.

Key Responsibilities
Executive Calendar & Email Management
Manage and prioritize complex executive calendars, appointments, and meetings.
Coordinate schedules across multiple departments and stakeholders.
Monitor and manage high-volume email communications, ensuring timely responses and follow-ups.
Protect executive time by identifying priorities and minimizing distractions.
Meeting Coordination & Follow-Up
Attend leadership and operational meetings virtually when required.
Capture meeting notes, action items, and key decisions.
Track project progress and proactively follow up with team members, store managers, and vendors to ensure accountability and completion.
Administrative & Operational Support
Organize and maintain digital files, records, and documentation.
Assist with vendor communications and catering inquiries.
Support operational reporting and expense verification processes.
Conduct research on tools, vendors, systems, and business initiatives to support company growth.
Problem Solving & Special Projects
Handle unexpected administrative and operational challenges with professionalism and urgency.
Assist with special projects as assigned by leadership.
Identify opportunities to improve processes, efficiency, and communication workflows.
Qualifications
Required
Minimum of 2 years of experience as a Virtual Assistant, Executive Assistant, or Administrative Assistant in a remote environment.
Proven ability to work independently with minimal supervision.
Exceptional organizational and time-management skills.
Strong attention to detail and ability to manage multiple priorities simultaneously.
Excellent written and verbal English communication skills.
High level of professionalism, discretion, and confidentiality.
Technical Skills
Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Drive).
Experience with cloud-based file management systems such as Dropbox.
Familiarity with communication platforms such as Slack.
Comfortable using project management and productivity tools.
Strong internet connectivity and a dedicated remote workspace.
