Job Description - Repair Capacity Coordinator

Job Summary:  This role is primarily responsible for leveraging all available scheduling functionality to optimize daily capacity and efficiency within the Repair Division.  The goal of this role is to employ a geographic-based assignment strategy designed to reduce drive times, organically increase the number of customers served per day, improve technician satisfaction and efficiency, and improve customer satisfaction.    

Pay:   Hourly/Bonus

Schedule:   Monday-Friday 9:00am – 5:30pm

Essential Job Responsibilities:

1. Schedule daily Repair appointments based on established optimization strategies.

2. Confirm all Repair appointments.

3. Identify opportunities to re-schedule future appointments to improve daily capacity and efficiency.

4. Notate all schedule activity and communicate changes accordingly.

5. Ensure all required materials are ordered, schedule appointment date with customer based on expected availability of materials (appointment must be within 5 days of expected ETA of materials), and monitor status of delivery to ensure expected ETA is met.  

6. Monitor work queues to ensure cycle times are achieved.

7. Monitor and respond to all customer communications (calls, voicemails, chats), internal tasks and emails.

8. Once materials are available, confirm pre-scheduled appointment date, assign technician.

9. Ensure day of appointment challenges are addressed and resolved (i.e., weather reschedules)

10. Ensure all completion steps are completed and notated, including payment processing.

11. Assist other coordinators in traditional workflow requirements based on need.

4. Excellent communication with ability to persuade and deescalate conflict

5. Strong problem resolution and customer service skills
