Job Description - Retirement Plan Distributions Administrative Assistant
Purpose of Position
Process and report distributions from retirement plans while offering our clients, participants and financial advisors a positive and convenient experience. Responsiveness, flexibility, meeting all goals and deadlines, and exceeding quality standards are the top priorities of this role.
The two essential job functions are Client Services and Retirement Plan Management relating to Participants. Please see below for the breakdown of these functions.
Client Services
Respond professionally to all client, financial advisor, accountant and retirement plan participant calls and e-mails in a timely and efficient basis (within 24 hours), including inquiries received from firm management and related support positions.
Deliver upon client and participant expectations effectively by delivering quality work product as per internal timelines and by proactively alerting clients to any potential conflicts.
Confer with customers by telephone or in person to provide information about the status of their retirement plan funds.
Contact retirement plan participants to respond to inquiries and requests, keep records of retirement plan participants’ interactions and transactions and inform them of current status or any unexpected adjustments.
Refer unresolved retirement plan participants' grievances to escalate to the Department Manager for further investigation.
Complete forms and letters of correspondence.
Recommend improvements in departmental procedures to prevent future issues.
Retirement Plan Management relating to Participants
Deliver the following aspects of our annual administration services accurately and timely:
Distribution production correspondence and forms including the following of retirement plan participants: termination of employment, loans, death, minimum required distributions, Qualified Domestic Relations Orders, disability and hardship distributions.
Prepare Immediate Distribution Packages and effectively communicate the instructions to clients.
Verify IRS Distribution Codes and vesting for participant distributions processed from platforms.
Follow-up on questions and inquiries from client advisors including brokers, accountants and attorneys.
Be accountable for maintaining accurate case and billing records in database. Document correspondence with clients as appropriate and record exceptions to firm policies and procedures in company database.
Perform self-review and review of co-workers' work product according to firm guidelines.

Compensation will be determined based on experience, please include preferred salary range when applying. A candidate with minimal experience can expect an offer of $21.00 to $23.00 per hour. A candidate with up to two years experience in this field can expect an offer of $23.00 or more DOE.
