ROM Operations Coordinator

The ROM Operations Coordinator will support our Recreation Outreach Ministry (ROM). In this role, you will be a key player in ensuring the smooth execution of our sports seasons by managing event logistics, communications, and administrative tasks. You will work closely with the ROM Director, Administrative Assistant, and church staff to create a welcoming, Christ-centered environment for all participants. This position offers functional flexibility, with a mix of on-location, office, and remote work, requiring a high degree of self-direction and collaboration.

Essential Functions:

• Work in cooperation with all levels of management, support staff, personnel, church leaders, volunteers, members, and guests to fulfill the mission of Indian Rocks. Perform other responsibilities as directed by the immediate supervisor or other church supervising staff.
• Administer the work of the ministry programs by encouraging positive teamwork and mutual support of the Mission Statement of Indian Rocks.  
• Program Management: Serve as the primary point person for weeknight and Saturday programming, including being present for all Saturday games.
• Assist the director in staffing and managing officials, volunteers, and coaches on gamedays.
• Support the supervision of seasonal player evaluations, drafts, and clinics.
• Reflect Christ-centered hospitality and excellence during all on-site ROM events.
• Act as the primary point of contact for coaches and participants via email and church web platforms, fielding basic inquiries and escalating complex needs.
• Send weekly devotionals, announcements, and updates to coaches and staff.
• Collect and maintain all coach information, including contact details, uniform information, and background check status.
• Support follow-up processes to connect families with the church’s discipleship initiatives.
• Maintain and update the calendars for all seasonal ROM events, such as Evaluations, Draft Nights, and Awards ceremonies.
• Coordinate with the ROM Administrative Assistant to manage space reservations and plan for logistical needs.
• Assist in vendor coordination and ordering supplies for uniforms, signage, and gear.
• Regularly audit the ROM website to ensure that schedules, standings, and contact lists are up to date.
• Track participation and attendance records using ministry tools like Rock RMS.
• Learn and effectively utilize information management systems, including eSpace, Rock, and Planning Center.

• Strong organizational and time-management skills with close attention to detail.
• Excellent written and verbal communication abilities.
• Comfort and proficiency with Gmail, Google Drive, Rock RMS, and basic web editing tools.
• A self-directed work ethic with a strong sense of responsibility: dependable under a flexible schedule.
• A positive, cooperative team player who can work effectively with families, church members, and staff. Ability to resolve conflicts reasonably, understanding that we are a multi-faceted church with many important ministries. 
• Cultivate an ongoing cooperative relationship between church, school, membership, and community.

• Demonstrates a mature, growing faith in Jesus Christ, provides testimony of a personal relationship with Him, and senses the call of God to a serving ministry. 
• Demonstrate a consistent Christian lifestyle as referenced by the Mission, Statement of Faith, and Leadership Guidelines of Indian Rocks
• Must be an active member of Indian Rocks as defined by regular attendance in worship services, regular attendance/involvement in an Indian Rocks Connection Group or Small Group, commitment to systematic stewardship, and faithful in tithing.
