We are seeking a highly organized and motivated Safety Administrative Assistant to support our Safety Director and help maintain a safe, compliant, and efficient transportation operation. This is an excellent opportunity for someone looking to build or expand a career in transportation safety, compliance, and fleet operations.
In this role, you'll play an important part in supporting DOT and OSHA compliance, maintaining safety records, coordinating driver documentation, and helping ensure our fleet and facilities operate safely and efficiently.
What You'll Do
Assist with OSHA, Cal/OSHA, DOT, and FMCSA compliance programs.
Maintain safety records, reports, and regulatory documentation.
Assist with Driver Qualification (DQ) files and monitor annual renewals.
Maintain equipment inspection records and ensure compliance with DOT requirements.
Monitor carrier insurance and operating authority requirements.
Assist with maintaining UIIA, eModal, and PDTR systems.
Monitor drivers' Hours of Service (HOS) for regulatory compliance.
Coordinate and track safety training, inspections, and audits.
Support incident reporting and follow-up documentation.
Monitor security cameras and ensure security systems are operating properly.
Perform routine walkthroughs of the office, warehouse, and yard to help maintain a safe and organized work environment.
Assist with general facility and operational support as needed.
Perform other related duties as assigned.
Qualifications
1+ year of administrative experience
Knowledge of OSHA, Cal/OSHA, DOT, or FMCSA regulations is preferred but not required.
Strong organizational and time management skills with excellent attention to detail.
Strong communication and customer service skills.
Proficiency with Microsoft Office and Google Workspace.
Experience with transportation software such as UIIA, eModal, or similar systems is a plus.
Physical Requirements
Ability to lift up to 50 pounds occasionally.
Ability to walk throughout the yard and office as part of daily responsibilities.
Ability to bend, stoop, reach, and climb ladders when necessary.
