Job Description - Safety Administrator

Joseph J. Albanese, Inc. is seeking a qualified Safety Administrator to join our team in Santa Clara, CA.  Under the direction of the Workers Compensation Supervisor, the Safety Administrator will be responsible for completing safety metrics reports, claims support, fixed site location compliance, safety onboarding for new hire employees, coordination with regional teams, Safety Training support, and other safety department support activities. ESSENTIAL FUNCTIONS OF THE POSITION



Claims Support:



  • Provide assistance for JJA insurance claims with responsibilities that include interfacing with injured workers, medical professionals, and insurance companies. 

  • Complete incident reports on a weekly, monthly, quarterly, and on an as-needed basis. 

  • Coordinate and schedule online training for injured workers.



Administrative Support:



  • Support the Safety Director with scheduled safety metric reports.

  • Ensure consistency with safety documents.

  • Responsible for scheduling incident reviews for Safety, field Supervisors and Project Management.

  • Provide safety-specific new-hire onboarding/training. 

  • Schedule and maintain safety records for CIH Safety testing.

  • Maintain SDS (safety data sheets) libraries. 

  • Coordinate support for fixed site location tasks, and provide support to the safety department for site-specific documentation. 

  • Upload weekly toolbox talk topics into database. 

  • Create purchase orders for safety department needs. 

  • Provide support for prequalification systems including safety metric data entry and periodic review for system health and new client requirements. 



Safety Training Support:



  • Interface with Superintendents to develop monthly safety training calendar and email communication

  • Coordinate with internal and external trainers, reserving appropriate room space for training courses, extracting reports of current, expiring, and expired training records.

  • Manage weekly safety training sign up and hand off to dispatch for scheduling

  • Data entry of safety training records into training database.

SPECIFIC JOB KNOWLEDGE, SKILL, AND ABILITY:



  • Associates Degree in a related field or equivalent work experience is desirable.

  • 5 or more years of administrative support experience preferred.

  • Excellent communication skills in English and Spanish both verbal and written required.

  • Proficient in Microsoft Excel, Word and PowerPoint.

  • Highly organized, with the ability to manage several projects simultaneously in a fast-paced work environment.

  • Ability to work collaboratively with team members by prioritizing tasks and assist team members when needed.



OTHER: 



  • Ability to work overtime on an as needed basis.

  • General work environment – sitting for long periods, standing, walking, typing, bending.

  • Occasional lifting of up to 15 lbs.
