Position Summary:


The Sales Operations Coordinator supports the Sales Team by coordinating the administrative and operational processes that move customer opportunities and orders forward. This role provides dedicated support for National and Strategic Accounts, assists with quote creation, coordinates and tracks customer and internal communication, supports production board organization, and maintains visibility to customer orders throughout the production process. The Sales Operations Coordinator serves as a key connection between Sales and internal teams to ensure information is accurate, organized, communicated, and followed through from quote to order completion.



Qualifications:



  • Provide organizational and administrative support for Wil-Ro’s National and Strategic Accounts and the Sales Team.

  • Create and prepare customer quotes on behalf of the Sales Team, ensuring accuracy and timely completion.

  • Manage and maintain accurate customer documentation, account records, correspondence, and related sales information.

  • Attend customer meetings alongside fellow team members to provide support, document key discussions, and capture action items and next steps.

  • Coordinate interoffice communication between Sales, Operations, Engineering, Finance, and other departments regarding customer needs, commitments, and account activity.

  • Track customer communication, meeting outcomes, open items, and follow-up requirements to ensure commitments are completed and communicated appropriately.

  • Assist with organization and maintenance of the production board to support accurate visibility into customer orders and production status.

  • Track National and Strategic Account orders throughout the production process and communicate status updates, open items, and potential delays to the appropriate team members.

  • Coordinate with internal departments to ensure order information, customer requirements, and requested timelines are accurately documented and communicated.

  • Maintain visibility to upcoming orders, production priorities, and customer commitments to support proactive planning and customer communication.

  • Identify missing information or documentation that could delay quoting, order processing, or production and coordinate follow-up for resolution.

  • Maintain accurate customer and account information within Salesforce and other applicable systems.

  • Support Sales Team members with account organization, customer meeting preparation, reporting, order tracking, and other administrative needs.

  • Help create a consistent and organized customer experience by ensuring information flows effectively between customers, Sales, and internal teams.

  •  Strong organizational skills with the ability to manage multiple priorities, deadlines, and customer-related details.

  • Excellent written and verbal communication skills with a high level of professionalism.

  • Strong attention to detail and commitment to maintaining accurate documentation and records.

  • Ability to work cross-functionally and coordinate effectively with multiple departments and team members.

  • Proficiency with Microsoft Office; experience with Salesforce or similar CRM systems preferred.
