GENERAL SUMMARY

 The Sales Administration position is a hybrid role responsible for providing administrative support both internally and in the field to the sales team, ensuring smooth operations and efficient coordination of sales-related activities. This role involves handling paperwork, data entry, maintaining records, and facilitating communication between the sales department and other internal departments as well as external clients. The Sales Administrator plays a crucial role in streamlining processes to enhance productivity and customer satisfaction. 

ESSENTIAL DUTIES & RESPONSIBILITIES

 

Office Duties:

1. Provide administrative assistance to the sales team, including but not limited to drafting correspondence, preparing reports, scheduling meetings, and managing calendars.

2. Process sales orders accurately and efficiently, ensuring all necessary documentation is completed and filed appropriately.

3. Serve as a point of contact for customer inquiries and issues, addressing them promptly and courteously. Coordinate with the appropriate personnel to resolve customer concerns effectively.

4. Maintain and update customer databases, sales records, and other relevant information in CRM (Customer Relationship Management) systems.

5. Assist in monitoring inventory levels and coordinating with the inventory or warehouse team to ensure timely replenishment.

6. Collaborate with the sales team to provide support in various aspects of the sales process, such as preparing sales presentations, proposals, and contracts.

7. Generate sales reports and analyze data to track sales performance, identify trends, and provide insights to management for decision-making purposes.

8. Facilitate communication between the sales department and other internal departments, such as marketing, finance, and logistics, to ensure seamless coordination and information sharing.

9. Maintain accurate records of sales activities, contracts, and correspondence, ensuring compliance with company policies and legal requirements.

10. Identify opportunities for process improvements within the sales administration function and contribute to the implementation of best practices to enhance efficiency and effectiveness.

Field Duties:

11. Relationship Management: Develop and maintain solid relationships at the store level to foster long-term retail partnerships and ensure effective execution of sales initiatives.

12. Merchandising Execution: Merchandise assigned accounts according to company standards, including rotating points of sale, organizing back stock, building displays, and implementing planograms.

13. Product Presentation: Ensure product cleanliness and visibility through regular cleaning and dusting of shelving and product displays.

14. Route Coverage: Provide route coverage for DSD (Direct Store Delivery) operations as needed to maintain service continuity.

15. District Support: Offer direct support to the District Manager by assisting with daily operations, reporting, and store-level coordination.

16. Product Distribution: Support the distribution of all authorized manufactured and partnered products to ensure consistent availability at the retail level.

17. Other duties as assigned.

Requirements

Required Education and Experience

  • High school diploma or equivalent
  • Proven experience in sales administration, customer service, or administrative support roles.
  • Automotive transportation that will safely allow you to travel throughout the city daily for store visits.
  • Valid driver’s license and insurance with a clean driving record
  • An equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities may be considered.

COMPETENCIES FOR SUCCESSFUL PERFORMANCE OF JOB DUTIES

Knowledge of:

  • English grammar, spelling, punctuation
  • Knowledge of DSD sales processes and terminology is a plus.

Skill in:

 

  • Proficiency in relevant software applications such as CRM systems, Microsoft Office Suite (Word, Excel, PowerPoint), and any other sales-related tools.
  • Excellent organizational and time management skills with the ability to prioritize tasks.
  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Effective communication and interpersonal skills.

Ability to:

  • Meet schedules and deadlines for the work
  • Understand and carry out oral and written directions
  • Flexibility to adapt to changing priorities and work under pressure in a fast-paced environment.
  • Self-starter with problem-solving abilities.
  • Ability to work collaboratively in a team environment and independently with minimal supervision.
  • Understand and fulfill customer needs while maintaining a positive and professional demeanor.
  • Interpret data, identify trends, and generate reports to support sales strategies and decision-making.
  • Troubleshoot issues, resolve customer complaints and find solutions to challenges that arise in the sales process.

 

POSITION TYPE AND EXPECTED HOURS OF WORK

  • May work in a normal office, warehouse, and grocery store environment
  • Monday through Friday 8am until 5pm
  • Occasional abnormal hours are expected and required for specific events.

TRAVEL

  • Frequent travel within the metropolitan area will be required.

WORKING CONDITIONS & PHYSICAL DEMANDS

  • This position is relatively free from unpleasant environmental conditions or hazards and moderate physical effort. Incumbents may be required to exert up to up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and/or up to 10 pounds of force constantly having to move objects.
