Sales/Traffic Assistant

Description

Sales Assistant Duties 

• New orders, revisions (cancels/adds) are given to the NSM for review.  
• All National orders, revisions and makegoods are input daily, as received, in WO and Medialine.
• New orders, revisions and makegoods are input in the system before the end of each day and then filed in folders weekly.
• Offered makegoods out to the rep, must be responded to within 48 hours or less. If there has been no response, NSA must contact rep/assistant via phone/email and find reason.  
• Same time-period makegoods are handled by the NSA and sent daily before 12noon.
• Any prime or sports makegood offers are cleared with the NSM before sending.
• Rejected makegoods – NSA must ensure rep/assistant has fully explained the rejection (missing how many impressions, wrong daypart, out of flight, hit listed show etc.) New makegood offer will be sent the same day as the rejected offer.                
• Makegoods must be filed in their own folder and organized with corresponding paperwork in order by advertiser and date.
• Communicate with traffic of any late orders or mgs to be written on the logs.
• Pre/post log times are pulled for each advertiser request on Fridays/Mondays  
• Program change reports will be pulled the month prior, or as FOX releases new programming, to determine any program changes from the original order. The program change will be sent to the rep for approval. Any rejections will be discussed with the NSM for an alternative offer.
• All quarterly paperwork must be filed by first Friday of new quarter in individual advertiser’s files.
• End of quarter credit for spots missed due to the end of the flight will be reviewed with the NSM to determine how to prevent this from happening. 
• All actual dollar credits that happen within the quarter, are to be written up immediately by the NSA, signed by the NSM and given to the Business Manager. Any invoice discrepancies will be researched to find out if the credit is valid, written up and processed as soon as they are known. 

  Traffic Assistant Duties 

• Pick up previous day’s dub forms in Master Control to verify completed and check for problems with commercials, if any.
• Complete RECON for previous day’s logs.
• Daily check of email and fax machine for traffic instructions/revisions for current and new orders with emphasis on working ahead to allow adequate time to research missing items.
• When traffic instructions are not available, contact agency/client to obtain them. If unable to obtain, notify sales executive.
• Contact sales executives regarding missing copy for local clients.
• Enter traffic instructions with corresponding orders- paying close attention to estimates, brands and dates to ensure accuracy.
• Receive and check in all commercial media.
• Maintain commercials and paid program inventory, purging when no longer needed.
• Complete and print daily log, double-checking before sending to MC. Working ahead to maintain daily printing schedules.
• Maintain PSA orders.
• Cover for Traffic Manager when they are absent/on vacation.

Requirements

• Must be Proficient with computer data entry, Microsoft Office and Excel
• Requires high level attention to detail
• Top notch oral and written communication skills
• Must have solid organizational skills and be able to multitask
• Must be able to work calmly under pressure in a strict daily deadline driven environment

Salary: $45,000-$50,000
