DEPARTMENT:  Registration and Records

LOCATION: On-campus located in Tiffin, OH

JOB TYPE: Full-time

GENERAL JOB DESCRIPTION

Tiffin University is seeking an entry-level, detail-oriented, and motivated individual to fill our Scheduling Specialist position at Tiffin University. The Scheduling Specialist will assist the Vice Provost for Academic Engagement and Student Success with the development and implementation of policies and procedures for the student module (ST) in the Colleague SaaS Information System. The individual is responsible for the accurate input of course sections and scheduling, classroom and faculty teaching assignments, and related administrative tasks within the university's SIS. Provide primary assistance with the overall project transition plan from PowerCampus to Colleague SaaS (AY2025-2026).

Requirements

MAJOR DUTIES AND RESPONSIBILITES

Responsibilities involve supporting project management activities, facilitating collaboration across departments, assisting in data migration, coordinating testing and training efforts, and ensuring alignment with institutional goals and timelines. Collaborates closely with technical teams and functional leads to promote system integration and end-user adoption.

Essential Colleague SaaS functions:

  • ST – Grades Management
  • ST – Curriculum Design
  • ST – Academic Year Scheduling
  • ST – Course Management
  • ST – Student Enrollment: Student Registration
  • ST – Records and Details
  • Track and Maintain Schedules: Ensure course schedules are accurately entered, updated, and maintained in coordination with university systems
  • Post Faculty Teaching Assignments: Collect and input faculty teaching assignments for TUUG courses, ensuring records are current and in compliance with departmental guidelines
  • Manage Section Cancellations: Coordinate the cancellation process for low-enrollment or unstaffed sections. Update faculty assignments, notify students, and adjust in the scheduling system accordingly
  • Classroom Assignments: Assign instructional locations to schedules, including mid-cycle changes, faculty substitutions, and section timing changes
  • Special Project Assignments: responsible for projects as assigned to support the Registrar’s Office and/or under the guidance of the Associate Registrar
  • Provide customer service and other Registrar’s Office functions as assigned.

QUALIFICATIONS/SKILLS/ABILITIES FOR THE JOB

Education

  • Bachelor's degree required, preferably in information technology systems, education, or business fields

Experience

  • Experience with scheduling, degree audit, and/or records processing systems.

Other

  • Demonstrated ability to handle multiple tasks and work in an environment with continuous interruptions.
  • Ability to plan, organize, and implement assigned responsibilities to meet established deadlines.
  • Ability to engage with team members when issues arise to ensure appropriate communication and develop effective resolution plans.
  • Maintain a current understanding of the requirements for FERPA, Financial Aid, and Disability Services in a university setting.
  • Proficiency in Microsoft Office Suite
  • An understanding of and commitment to Tiffin University’s Vision, Mission, and Values.

PHYSICAL REQUIREMENTS

Ability to sit and/or stand periodically for long periods.
