Job Description - School & Group Programs Coordinator

Description

Position Summary:

The School and Group Programs Coordinator works under the supervision of the School & Group Programs Manager to coordinate logistics and produce engaging programs, activities, and events for the public offerings at Imagine Children’s Museum. These experiences include hands-on STREAM programming delivered to school and community groups in a classroom setting either at the Museum or offsite. This individual must possess a strong work ethic and the ability to manage time effectively while motivating others. An interest in cross-disciplinary thinking that embraces various art forms and disciplines is also essential. The School and Group Programs Coordinator should be comfortable working with colleagues, community partners, and diverse groups.

Essential Functions and Major Responsibilities:

Scheduling and Logistics

  • Coordinate logistics and provide event support for programming, camps or classes to be delivered both on and offsite.
  • Scheduling spaces and confirming set-up details
  • Making travel arrangements
  • Procuring and preparing supplies
  • Producing related correspondence and documents
  • Producing event-related documents
  • Maintains School and Group Programs calendar – schedules area of delivery and confirms set-up, delivery and tear-down details
  • Coordinating A/V needs and set up.
  • Maintain timely and accurate program statistics. Prepare reports as needed.
  • Tracking program registrations.
  • Develop and maintain systems for scheduling, supplies, classroom space use, and program prep.
  • Coordinate group bookings and logistics with the Visitor Experience, Public and Community Programs and Reservations teams.
  • Monitor and ensure safety, accessibility, and quality of all school and group experiences.
  • Track attendance, program feedback, and learning outcomes to inform improvement and reporting.

Programming Preparation and Facilitation

  • Procuring and preparing supplies for programming.
  • Prep materials for Learning Explorers for easy program facilitation.
  • Responsible for the set-up of program facilitation at the Museum.
  • Will support program facilitation and deliver if needed both on and offsite as requested.
  • Oversee volunteers as needed.

Administrative

  • Producing related correspondence and documents.
  • Submitting invoices for payment.
  • Preparing the copy for printable and digital information to be reviewed by Manager and submitted to Communications.
  • Professionally and courteously handle inquiries via telephone and email.
  • Assist with the collection and administration of surveys to track participant engagement and satisfaction.

Requirements

Position Requirements:

  • Proficient in Microsoft Office applications and database systems.
  • Strong written and oral communication skills, effective problem-solving, flexibility and ability to respond quickly to changing needs or challenges.
  • Ability to create and maintain effective working relationships with various individuals.
  • Exhibits an awareness and sensitivity to cultural and other differences when working with representatives of public and private organizations, volunteers, vendors, museum staff and the general public.
  • Must be a self-starter, show attention to detail, and possess excellent organizational skills. Ability to work accurately and efficiently and keep track of numerous projects simultaneously
  • Willing to work evenings and weekends, on- and off-site.
  • Commitment to the Museum's culture and core values.
  • Experience facilitating programming in non-formal and informal settings is helpful.

Education and/or Experience:

  • High School Diploma or GED equivalent. 
  • 1-3 years of experience working within school and/or outreach programming; including activities/performances/programs that meet organizational goals, supporting external vendors, managing event support staff, complying with facilities requirements, and collaborating with external resources.
  • Experience working with children ages 2–12 in education, camps, childcare, or similar settings.
  • Strong interpersonal skills and a love for playful, informal learning.
  • Ability to work with diverse groups in a fast-paced, visitor-centered environment.
  • Comfort speaking to groups and adapting to changing situations.
  • Coursework or background in education, child development, or museum studies preferred.
  • Familiarity with school environments or Washington State learning standards preferred.
  • Bilingual or multilingual is a plus.

  • High level of public contact. 
  • Regularly required to stand and walk for long periods of time, climb ladders and stairs. 
  • Occasionally lift and or move up to 30 pounds. 
  • Speak and hear sufficiently to communicate clearly in person, over the telephone, and in small groups.
  • Mental stamina for problem solving and dealing with stressful situations; prioritizing multiple tasks; interpreting and applying oral/written instructions. 
  • Ability to bend, carry, reach to the side, front and overhead, push, pull, walk, stand, twist and squat, grab, squeeze are repetitive motions required of the position. 
  • Occasionally exposed to outdoor elements including high and low temperatures, precipitation, and wind. 
  • Regularly exposed to moderate noise in and around exhibits. 
  • Occasionally exposed to small and/or enclosed spaces. 

This is a full-time position, onsite in Everett. The pay is $22-$25 an hour depending on experience.
