Job Description - School Secretary

Job Summary: This position serves as the face and voice of the campus, reporting directly to the Principal and/or Assistant Principal. The School Secretary is an important part of The Rhodes School and displays a professional demeanor at all times.


Duties and Responsibilities: 


1. 


Provides key support, including the performance of a wide variety of specialized clerical duties involving compiling and arranging data, making computations, conceptualizing and preparing reports, processing and coding documents, and maintaining specialized and comprehensive records and filing. 


2. 


Receives, classifies, reconciles, consolidates, and summarizes documents and information.


3. 


Answers calls, records messages, and redirects inquiries to the appropriate individual or department. Attends to all visitors and staff.


4. 


Sets up and prepares statistical reports. Resolves discrepancies and communicates with a variety of administrative and professional employees within and outside the organization.


5. 


Prepares reports from confidential records; assists with data input as directed by campus administration.


6. 


Assist in the dissemination of PEIMS-related information.


7. 


Compile and maintain all physical and computerized reports, records and other documents as directed by the principal or PEIMS Coordinator.


8. 


Operates computers and standard office equipment


9. 


Coordinates office operations. Resolves most questions and problems, and refers the most complex issues to higher levels.


10.


Communicates as necessary with supervisor; maintains confidentiality of records.


11.


Performs other job-related duties as assigned.


Education: Associate's or Bachelor’s Degree from an accredited university or college preferred.


Work Experience: One to three years. A combination of training and /or experience that demonstrates the ability to perform the duties as described; a typical qualifying background would include work experience in an office environment involving public contact; experience working at a school site is desirable.

  • Quality Control – The individual demonstrates accuracy and thoroughness and monitors their own work to ensure quality. 

  •  Adaptability – The individual adapts to changes in the work environment, manages competing demands, and can deal with frequent change, delays or unexpected events. 

  • Dependability – The individual is consistently at work and on time, follows instructions, responds to management direction, and solicits  feedback to improve performance. 

  • Safety and Security – The individual actively promotes and personally observes safety and security procedures, using equipment and materials properly.


Equipment Used 


Microsoft Office, Office equipment (e.g., computer, copier). General Knowledge of accounting procedures, district policies and school law.


Working/Environmental Conditions/Mental Demands/Physical Demands: 


Work is normally performed in a typical interior work environment which does not subject the employee to any hazardous or unpleasant elements.  Ability to carry and/or lift less than 15 pounds.
