School-Based Intake Specialist

What you will be doing

We are seeking a School-Based Intake Specialist to provide services within our School-Based Counseling Partnership Program. In this role, you will oversee the client intake and admission process, serving as the primary point of contact for students, families, and referral partners. You will work closely with therapists, school representatives, social workers, and Christian Family Solutions team members to coordinate referrals, assess client needs and eligibility for services, and ensure each situation is handled with compassion, professionalism, and efficiency. 

In this role, you will also facilitate the scheduling of admissions, support smooth transitions into services, and coordinate appropriate discharge processes when services conclude. Your ability to build relationships, communicate effectively, and manage multiple priorities will help ensure positive referral outcomes and an exceptional experience for the clients and schools we serve. 

This is a full-time position working 40 hours per week. Following the initial training period, the role will primarily be remote; however, occasional on-site attendance at our corporate office in Germantown, WI, will be required for meetings, training sessions, and other business needs. • Bachelor degree in Psychology, Social Work, Human Services, Education, or related field preferred. In lieu of a bachelor’s degree, a minimum of three years of progressively responsible experience in behavioral health, social services, school-based services, case management, intake coordination, customer service, or a related field will be considered.
• Minimum of two years’ experience in a clinical or health care setting with considerable client contact preferred.
• Ability to understand and respond to client needs when in a crisis or in a less than optimum state of health.
• Exceptional attention to detail in order to review patient's medical history and refer accordingly.
• Ability to converse with people during moments of trauma or crisis. 
• Strong listening and communication skills. Ability to communicate with clients, families and other clinical staff.
• A high degree of responsibility to maintain confidentiality.
• Experience in insurance procedures in a health care setting is preferred.
• Member in good standing with a WELS/ELS church preferred.
• Demonstrated strong written and verbal communications skills.
• Knowledge of medical terminology preferred.
• Familiarity of managed care environment, procedures and clinical criteria. 
• Basic knowledge of the reimbursement system process.
