What this job involves -

Join our team as a Security Admin/Receptionist! JLL is on the lookout for a highly capable and dynamic individual to fill this important role. As a Security Admin/Receptionist, you'll play a crucial part in providing reliable, timely, and efficient support. You'll work with a diverse group of internal and external stakeholders at all levels of the organization. The ability to independently prioritize, plan, and organize various tasks is essential in this position. Detail-oriented with strong organizational skills and a team player attitude? Then this role, which offers a wide range of support services to the client office, is perfect for you!
What is your day to day?
Welcome and guide all visitors, employees, and contractors, providing necessary orientation.
Actively participate in facility programs, continuously learning and growing as a professional.
Assist with clerical and administrative duties as required, including filing, database management, and other office support tasks.
Offer additional support across multiple sites as needed.
Provide assistance to the JLL Facilities Management team when required.
Ensure prompt and professional handling of all phone calls, following company protocols and redirecting them to the appropriate department.
Respond to emails addressed to NSP Security/Reception and type any necessary correspondence for the Security Department.
Maintain ongoing communication with the Security Department and manager, reporting any security issues and redirecting calls to GROC that require attention.
Issue access cards, guest badges, photo IDs, and parking decals to employees and contractors.
Keep track of ID and access card issuance statistics, and update card access as required.
Generate C*Cure reports as necessary and notify managers to retrieve badges for disabled employees.
Arrange travel as needed and schedule and coordinate meetings, including reserving conference rooms.
Manage inventory for badging systems, updating standard operating procedures (SOPs) and emergency telephone numbers.
Distribute critical review systems and monthly reports to Corporate Security.
Enforce company security policies and procedures.
Issue camera passes and maintain related files.
Keep records of tickets issued on site.
Maintain a daily log for AVIS car rental keys.
Maintain a clean, organized, and safe workspace.
Adhere to all JLL and client facility policies and procedures.
Work Schedule
7AM - 4 PM, Monday - Friday
Required
High School Diploma or equivalent.
Strong organizational skills and attention to detail.
Excellent verbal and written communication skills.
Ability to prioritize tasks and handle multiple responsibilities.
Proficiency in using office software and equipment, such as Microsoft Office Suite and phone systems.
Ability to work effectively both independently and as a part of a team.
Customer service-oriented mindset with the ability to interact professionally with stakeholders at all levels.
Familiarity with security protocols and procedures is a plus.
Flexibility to work in a fast-paced environment and adapt to changing priorities.
High level of confidentiality and integrity in handling sensitive information.
Knowledge of facility management practices is desirable.
Availability to occasionally work outside regular office hours or on weekends for special events or emergencies.
Valid driver's license may be required depending on the location.
Provide additional support at multiple sites as needed.
Must be able to comply with all JLL and client facility policies and procedures.
Preferred
Previous experience in a security administration and/or receptionist position preferred.
Prior knowledge and experience in a regulated environment such as the pharmaceutical, medical device, or other life science industry preferred.
Estimated compensation for this position is:
39,520.00 – 40,102.00 USD per year

The pay range listed is a total compensation range including bonus, if applicable. The provided range is an estimate and not guaranteed. An employment offer is based on applicant’s education, experience, skills, abilities, geographic location, internal equity and alignment with market data.
