As an Executive Assistant in Consumer & Community Banking, you will provide proactive administrative, onboarding, technology, expense, sponsorship, event, and team support to four Regional Sales Directors and their teams. This role is designed for a technology-forward professional who can reduce administrative friction, manage competing priorities, and deliver dependable service with discretion and sound judgment.
Job responsibilities
Coordinate staff onboarding and offboarding, including equipment requests and setup, system entitlements, building access, seating arrangements, and related follow-through.
Provide practical technology support, troubleshoot common equipment and access issues, coordinate with internal support teams, and help employees use available tools effectively.
Process invoices, Travel & Expense claims, and sponsorship requests for approval and payment while adhering to firm policies, procedures, and required timelines.
Prepare and format reports, presentations, and other documents for accessibility, readability, accuracy, and professional presentation.
Manage recurring meetings, scheduling needs, meeting materials, and minutes as requested, with calendar support focused on the highest-value team needs.
Coordinate client dinners, internal events, event tickets, supplies, and other logistical requests.
Act as a liaison between executives, team members, and internal or external stakeholders, supporting clear communication and positive working relationships.
Anticipate potential challenges, identify practical solutions, and proactively follow through on open requests.
Maintain strict confidentiality and discretion when handling sensitive information.
Provide administrative support across the regional leadership team and assist with other priority needs as assigned.
Required qualifications, capabilities, and skills
Minimum 2 years of administrative experience as an Executive Assistant or in a similar role.
Strong organizational and time-management skills, with the ability to manage competing priorities and meet deadlines.
Effective interpersonal and written and verbal communication skills.
Ability to work independently, exercise sound judgment, and collaborate effectively as part of a team.
High degree of professionalism, discretion, attention to detail, and commitment to quality.
Strong technology aptitude and demonstrated ability to learn and leverage new tools.
Proficiency with Microsoft Office applications, Zoom, access-request tools, event-management tools, and large language model tools, where approved for business use.
Experience supporting onboarding, expenses, invoices, events, or technology coordination is preferred.
