Job Description - Senior Administrator

Lawrence Berkeley National Laboratory's Earth & Environmental Sciences Division seeks a

Senior Administrator

for the newly awarded National Alliance for Water Innovation (NAWI), an Energy Innovation Hub tackling water security in the US.
Reporting to the Operations Director, the Senior Administrator plays a pivotal role, providing advanced administrative and technical support to NAWI's Executive Director and various members of the leadership team. This includes coordinating diverse administrative tasks, representing the Executive Director in communication and coordination efforts, and supporting program development activities. The role demands impeccable communication skills, proactive problem-solving, flexibility to anticipate and respond to changing priorities in an extremely fast-paced environment, and a keen understanding of Berkeley Lab policies and procedures.
What You Will Do:
General Administration:
Serve as primary administrative support to the Executive Director, managing complex email correspondence, recommending solutions, and delegating tasks as needed.
On behalf of the Executive Director, interact with internal and external personnel on significant issues requiring coordination across organizational lines, including LBNL management, collaborating institutions, DOE, and industry.
Represent NAWI with diplomacy and tact, ensuring effective communication with staff and stakeholders.
Coordinate with internal and external personnel on significant issues, including managing the Executive Director's calendar and travel arrangements.
Oversee event coordination, manage the Executive Director's personal website, and ensure its content is current and functional.
Meeting Coordination:
Coordinate recurring and ad-hoc meetings, including those for the Executive Director, project teams, program leadership, boards & councils, program partners/collaborators, and stakeholders.
Schedule program webinars in collaboration with the NAWI Communications Lead, including speaker coordination, presentation review, announcement communication, website management, and follow-up tasks.
Special Assignments/Projects:
Serve as a point of contact, managing moderate inquiries for the NAWI Project. Coordinate domestic/international travel for the Executive Team.
Collaborate with administrative staff for efficient processes.
Support event coordination, including tracking schedules and overseeing deliverables.
Assist with pre- and post-award activities for the Executive Team.
Additional Responsibilities as Needed:
Travel for meetings, conferences, and booth coordination, including international travel.
Handle ad hoc administration tasks such as procurement, shipping, and general office duties.
What is Required:
BA/BS degree with 4-6 years of high-level administrative experience or equivalent. Substantial experience in providing advanced administrative and project support to senior management.
Proficient in operational functions like project planning, budgeting, scheduling, and information tracking.
Excellent organizational skills.
Moderate experience in technical report development.
Ability to thrive under pressure and meet tight deadlines.
Sensitivity to diversity issues.
Discreet handling of confidential information.
Effective at prioritizing tasks independently and adapting to changing workloads.
Strong composition and language skills for business correspondence.
Exceptional interpersonal communication skills.
Familiarity with administrative procedures like event coordination and document preparation.
Advanced proficiency in Google Suite and Microsoft Office.
Valid driver's license for occasional meeting transportation.
Desired Qualifications:
Experience in scientific, technology, or research environments.
Familiarity with social media, collaboration, and project management tools like Teamwork, Box, Zoom, Access, etc.
Ability to assess new technology tools for early adoption.
Understanding of Earth and Environmental Sciences terminology.
Familiarity with LBNL, DOE, and/or UC policies and procedures.
Notes:
This is a full time 3 year, term appointment with the possibility of extension or conversion to Career appointment based upon satisfactory job performance, continuing availability of funds and ongoing operational needs.
This position is expected to pay $94,020-$114,912, which fits within the full salary range of $83,568-$141,012 for the A40.3. Salary for this position will be commensurate with the final candidate's qualification and experience, including skills, knowledge, relevant education, certifications, and aligned with the internal peer group.

This position is eligible for a hybrid work schedule - a combination of teleworking and performing work on site at Lawrence Berkeley National Lab, 1 Cyclotron Road, Berkeley, CA. Work schedules are dependent on business needs. Individuals working a hybrid schedule must reside within 150 miles of Berkeley Lab.
