Job Description - Senior Advisor to the CEO - Communications and External Affairs
Description
Zipliens is a leading lien resolution company that specializes in streamlining the lien process for personal injury law firms. We are looking for proactive, results-driven individuals to join our dynamic team.
The Senior Advisor to the CEO is the operational and communications partner to the Founder and CEO. The role brings together three key responsibilities: running the Executive Office so that the CEO’s time, commitments, and follow-through are managed with precision; shaping and managing the CEO’s internal and external communications; and representing the CEO and the Company in the Somerset community as Zipliens continues to grow and create jobs locally.
This is a high-trust position for a polished communicator who is as comfortable owning a complex calendar as drafting a company-wide message. The successful candidate will operate with a high degree of autonomy, sound judgment, and absolute discretion, and will build durable processes in a fast-paced, growth-stage environment.
Requirements
Responsibilities:
Executive Office Operations
Calendar and Time Management. Own the CEO’s calendar end to end, including scheduling, prioritization, and resolution of competing commitments. Structure the week to protect focused work time and established boundaries, and ensure every meeting is purposeful, appropriately attended, and supported with advance preparation.
Executive Office Point of Contact. Serve as the primary point of contact for the Executive Office across phone, email, and messaging. Screen and route inbound requests, resolve matters within scope, consolidate remaining items into a concise daily briefing, and escalate time-sensitive matters immediately.
Meeting Support and Follow-Through. Prepare agendas, materials, and briefing documents for leadership meetings, client engagements, and external commitments. Capture decisions and action items, maintain the executive follow-up log, and track commitments through to completion.
Travel and Logistics. Plan and execute domestic and international business and personal travel with complete, accurate itineraries. Maintain travel documentation and expense records, and submit expense reports promptly.
Process Development. Identify recurring friction points and design lightweight, durable systems that remove them. Continuously improve Executive Office operations as the Company scales.
Executive Communications
CEO Correspondence. Draft, edit, and manage correspondence on behalf of the CEO, maintaining a consistent and authentic voice across internal and external audiences.
Internal Communications. Develop the CEO’s messages to employees across U.S. and international teams, including company-wide announcements, leadership updates, and recognition, in coordination with People and Culture leadership.
Executive Presence. Prepare talking points, remarks, presentations, and briefing materials for client meetings, industry events, speaking engagements, and media opportunities. Support the CEO’s professional presence, including thought leadership and social media content.
Messaging Alignment. Partner with Marketing and Customer leadership to keep executive messaging consistent with the Company’s brand and positioning.
Community Engagement
Local Advocacy. Represent the CEO and the Company with civic, business, and education organizations in Somerset and the surrounding region, including economic development partners, the chamber of commerce, schools, and nonprofit organizations.
Community Partnerships. Identify and coordinate sponsorships, partnerships, volunteer efforts, and local events that strengthen the Company’s presence in the community.
Local Talent and Job Creation. Support the Company’s commitment to growing employment in Somerset by building relationships with local workforce and education partners, and by telling the story of Zipliens as a place to build a career close to home.
Integrated Executive Support
Integrated Scheduling. Maintain a single, unified view of the CEO’s professional and personal commitments to protect his availability and focus on Company priorities.
Select Personal Matters. Provide limited administrative support for designated personal matters, including correspondence, scheduling, and coordination with service providers, as needed to support the CEO’s time and effectiveness.
Advisor Coordination. Serve as the organizational liaison between the CEO and his professional advisors, including scheduling, document coordination, and follow-up.
Confidentiality. Handle highly confidential business, financial, and personal information with complete discretion and in accordance with Company policy and applicable agreements.
Qualifications:

7+ years of professional experience in communications, public relations, executive support, or a related role, including direct work with senior leaders.
