Job Description - Senior Director of AmeriCorps Operations (Internal Opening)

Senior Director of AmeriCorps Operations

Reports to: Executive Director
Compensation: $68,079.21


Overview


The AmeriCorps partnership is central to DREAM’s ability to deliver on its mission of closing the opportunity gap. The AmeriCorps Director ensures that the DREAM AmeriCorps experience is exceptional and compliant. The Director serves as the primary lead for AmeriCorps grant management, HR systems, onboarding and offboarding, and general AmeriCorps administration.




Responsibilities



  1. AmeriCorps Program Oversight



  • Oversee AmeriCorps compliance, including all components of enrollments & exits.

  • Set and achieve regional AmeriCorps recruitment targets.

  • Support position description development and compliance.

  • Oversee the member lifecycle: onboarding, agreements, 30-day reviews, 1:1s, feedback, professional development, wellbeing, and offboarding.

  • Administer eGrants and OnCorps (new accounts, timesheet oversight, enrollments, exits, program year creation).

  • Support calculation and communication for member terms, stipends, and ed awards.

  • Coordinate org-wide events to support participation in National Days of Service (MLK Day, 9/11).

  • Maintain integrity of member files and conduct regular compliance audits.

  • Represent DREAM at AmeriCorps Symposium and other national events, and regional / commission-driven activities and gatherings.

  • Attend program calls and maintain relationships with Program Officers and other AmeriCorps staff.





  1. Human Resources & AmeriCorps Support



  • Manage BambooHR administration related to AmeriCorps grants: payroll splitting, agreements, onboarding automation, timesheets, hire/rehire/termination support, annual document refreshes for AmeriCorps-required signatures.

  • Develop and post AmeriCorps role descriptions on BambooHR, Handshake, and egrants.

  • Manage onboarding/offboarding for members.

  • Maintain performance documentation, disciplinary process, and progressive discipline in member files on BambooHR.

  • Ensure AmeriCorps wellbeing: EAP, appreciation & recognition, support, regular feedback.

  • Standardize AmeriCorps HR issue management and serve as point person (in collaboration with One Digital).

  • Support and grow DREAM’s AmeriCorps member retention practices.





  1. Training & Development



  • Develop and administer AmeriCorps-related training systems including: TalentLMS, required onboarding, etc.

  • Provide ongoing support resources and safety refreshers to AmeriCorps Member Cohorts (child abuse prevention, water safety, staff safety trainings, miscellaneous youth engagement, etc.).

  • Standardize a cadence of professional and leadership development resources and outreach for AmeriCorps members.





  1. Finance, Compliance & Risk Management



  • Ensure compliance in AmeriCorps audits (background checks, exits, timesheets).

  • Review/approve program spending for grant compliance.

  • Monthly audit of Member Timesheets, communicating with and encouraging completion, managing members’ timesheet suspension as necessary. 

  • Manage AmeriCorps-program related receipts, Pex cards, and spending.

  • Split payroll and health insurance by grants.

  • Conduct regular compliance audits for members and employees as related to AmeriCorps grants.





  1. Organizational Systems & Administration



  • Administer and improve technology infrastructure and systems for AmeriCorps: Google Suite, Trello, BambooHR, Loom, etc.

  • Ensure email accounts and groups for AmeriCorps members are created, managed and closed as appropriate.

  • Ensure smooth onboarding logistics and communications for new members and uphold the “DREAM experience.”





  1. Manager & Staff Support



  • Conduct monthly check-ins with managers supervising AmeriCorps members.

  • Hold skip-level meetings with AmeriCorps members.

  • Improve the ability of managers to offer a great AmeriCorps experience through support and guidance.

  • Provide oversight and support for program spending approvals, compliance, and documentation.

  • Offer coaching and resources for managers around HR challenges, performance conversations, and staff engagement, in consultation with external HR consultants.





  1. Grant Management



  • Lead continuation and renewal application cycles, ensuring timely grant submission.

  • Prepare and submit periodic performance reports.

  • Ensure collection of performance measures and financial documentation.

  • Manage grants in egrants.



  1. Other
