Who You Are

We are seeking a highly skilled and experienced Senior Executive Assistant to provide advanced administrative support to the Senior leadership and the program managers. The ideal candidate is proactive, detail-oriented, and adaptable, with a proven ability to manage competing priorities in a fast-paced environment. This role requires strong communication skills, discretion, and the ability to anticipate needs while ensuring the seamless flow of operations.

The Executive Assistant will act as a trusted partner to the Senior EBP, ensuring optimal time management, effective communication, and smooth execution of executive responsibilities.

 Executive Support

• Manage calendars, schedule meetings, and coordinate appointments.
• Arrange domestic and international travel, prepare itineraries, and process expense reports.
• Prepare correspondence, presentations, reports, and other business documents.
• Maintain accurate filing systems, records, and office documentation.
• Support cross-functional collaboration with other teams as needed.
• Provide backup support to the Senior Executive Administrator when necessary.

Communication & Liaison

• Serve as the first point of contact for internal and external stakeholders.
• Draft, proof, and manage executive correspondence.
• Ensure timely responses and follow-ups on behalf of the leadership team

Event Coordination

• Plan and coordinate logistics for meetings, conferences, and company events.
• Prepare agendas, materials, and presentations for executive meetings.
• Assist with event planning, vendor coordination, and onsite execution.

Cross-Functional & Operational Support

• Partner effectively with other Executive Assistants across GondolaBio and the BridgeBio ecosystem.
• Support special projects and strategic initiatives as needed.
• Provide operational assistance to ensure efficient daily workflows.  

Recruiting & Onboarding Support

• Coordinate interview scheduling, candidate communications, and recruiting tracking in partnership with HR/recruiting.
• Support new hire onboarding by scheduling orientations, preparing materials, and coordinating with relevant departments.
• Ensure a smooth candidate and employee experience from recruitment through onboarding.

Education, Experience & Skills Requirement

• Bachelor’s degree or equivalent experience is preferred. 
• Minimum of 3–5 years of experience in an administrative or executive support of VP and above level role.
• Preferred Biotech or IT start up experience.  

Skills & Competencies

• Strong   organizational and time-management skills with attention to detail.
• Proficiency   in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Zoom and Team   experience is a plus
• Familiarity   with calendar management, travel booking, and expense systems.
• Excellent   verbal and written communication skills.
• Professional   discretion in handling confidential information.
• Ability to   prioritize tasks and adapt to changing needs in a fast-paced environment.
• Must be   willing and able to be onsite 4-5 days at Palo Alto office
• Occasionally   to SF office with advance notice

At GondolaBio, we strive to provide a market-competitive total rewards package, including base pay, an annual performance bonus, company equity, and generous health benefits. Below is the anticipated salary range for candidates for this role who will work in California. The final salary offered to a successful candidate will depend on several factors that may include but are not limited to the type and length of experience within the job, type, and length of experience within the industry, educational background, location of residence and performance during the interview process. GondolaBio is a multi-state employer, and this salary range may not reflect positions based in other states.  

The base pay range for this position is $150,000 to $ 168,000 per year. The actual compensation offered will be determined based on a number of job-related factors, including experience, skills, qualifications, and location.
