Senior Export Coordinator

Position Summary:

The Senior Export Coordinator is responsible for managing and overseeing the export of valve products from our manufacturing facility to global markets. This role ensures all international shipments comply with applicable laws and customer specifications while maintaining efficiency and accuracy. As the departmental lead, this individual will also be responsible for training team members and assisting in strategic decision-making within the export function.

Key Responsibilities:

Export Documentation & Compliance

• Prepare and manage all required export documents (e.g., commercial invoices, packing lists, certificates of origin, bills of lading).
• Ensure adherence to international trade regulations, export controls, and customs requirements.
• Liaise with customs brokers to facilitate clearance and resolve compliance concerns.

Shipping & Logistics Coordination

• Coordinate international shipments with freight forwarders, carriers, and logistics partners.
• Maintain and update shipment schedules to meet delivery deadlines.
• Monitor in-transit shipments, manage delays, and resolve logistical challenges.

Customer Communication

• Serve as the primary contact for international customers regarding orders, shipments, and documentation.
• Provide regular updates and delivery timelines to customers.
• Address and resolve customer concerns professionally and promptly.

Inventory & Order Management

• Collaborate with production and warehousing teams to align inventory availability with order timelines.
• Accurately enter and track export orders, ensuring data integrity in internal systems.

Freight & Cost Management

• Source and compare freight quotes for optimal shipping costs.
• Track freight expenses and identify areas for cost-saving improvements.

Problem Resolution

• Proactively address issues related to shipping delays, damaged goods, and customs complications.
• Collaborate with internal departments and external partners to resolve problems swiftly.

Record Keeping & Reporting

• Maintain detailed shipment records and export documentation for audits and reference.
• Generate reports on export metrics, freight performance, and customer satisfaction.

Internal Collaboration

• Work cross-functionally with Sales, Production, Quality Control, and Warehouse teams.
• Support Sales by providing updates on order status and delivery performance.

Departmental Leadership

• Provide training and mentorship to export department staff.
• Participate in departmental decision-making and contribute to continuous improvement efforts.

Qualifications:

• High school diploma or equivalent required; additional certifications in logistics or international trade a plus.
• Minimum 1 to 2 years years of export/logistics experience in a manufacturing environment.
• Knowledge of international trade laws, Incoterms, and documentation requirements.
• Proficient in Microsoft Office (Word, Excel, Outlook); ERP or shipping software experience preferred.
• Strong organizational, analytical, and problem-solving skills.
• Excellent verbal and written communication abilities.
• Able to work under pressure, prioritize tasks, and meet tight deadlines.
• Demonstrated leadership or training experience is highly desirable.
