Position: Senior Human Resources Administrative Assistant
Location: Headquarters – Moon Township, PA

Hours of work: Mondays - Fridays, 9:00 AM - 5:00 PM, 40 Hours/Week


The Senior Administrative Assistant provides high-level administrative support to company executives by managing appointments, preparing written reports and presentation materials, handling information requests, problem-solving and performing clerical functions for executives. The experienced assistant is expected to interact with internal and external individuals in the US and global organization and at all levels of the Company. Provides complex administrative support to US Human Resources and Payroll Departments ensuring efficient workflow. The highest level of confidentiality and discretion is required.

Duties and Responsibilities (not limited to)

  • Coordinates administrative workflow and continuity for Human Resources and Payroll Department. Routes internal and external inquiries to appropriate Human Resources or Payroll personnel. Functions as the administrative backup to Executive Assistant to the President and Chief Executive Officer
  • Maintain business relationships with high-level executives and coordinates with employees in other departments. Provides clerical & administrative support for Human Resources and Payroll Department such as typing reports, memos, letters and other documents
  • Creates and maintains database and spreadsheet files, PowerPoint presentations, Word and Excel documents as needed
  • Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution (i.e. Bargaining Unit contracts and Summary Plan Descriptions)
  • Perform general office duties such as ordering supplies and maintaining records management database systems
  • Maintain records through filing, retrieval, retention, storage, compilation, coding, updating and destruction
  • Organize and maintain employee personnel records
  • Open, sort and distribute incoming correspondence, including faxes and email
  • Manage Bereavement gift/donation program on behalf of the Company
  • Arrange complex and detailed travel plans and itineraries compile documents for travel-related meetings and accompany supervisor when requested
  • Prepare complex expense reports for Chief Human Resources Officer
  • Correspond and prepare communications and benefits information for new hires
  • Organize and maintain HR and Payroll vendor contract files
  • Oversee vendor billing relationships, purchasing and accounts payable functions for Human Resources and Payroll
  • Perform duties of a highly confidential nature that require a broad and comprehensive knowledge of Calgon Carbon’s policies and operations
  • Provide verification of former employee employment info as needed
  • Manage I9/e-Verify for employment verifications and citizenship documentation for Homeland Security. Manage Acceptable Use policy and provide employee authorization for access to secure ITAR folders for IT department. Manage federal labor law posting compliance at HQ and outside locations
  • Arrange programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget (i.e. Contract negotiations, Disability Mentoring Day, Bender Academy, Intern program, Hiring campaigns)
  • Support Chief Human Resources Officer on confidential and special projects
  • Coordinates all Human Resources & Payroll meeting set ups and itineraries. Schedule logistics for labor negotiations, benefits open enrollments and other meetings/functions
  • Creates blanket purchase orders in SAP and processes invoices in the corporate accounts payable management system
  • Receive and process highly confidential benefits, medical, and HR invoices in SAP, LotusNotes, and IQ Back Office. Run reports in ADP, review and update personnel profiles for accuracy

Qualifications

  • High school diploma or general education degree (GED) is required
  • Associates degree (A.A.), or equivalent from two-year college or technical school is preferred
  • 10+ years Administrative support experience in a business environment with increasing responsibilities is required
  • Experience with Concur Expense Reporting System is preferred
  • IQ Backoffice is preferred
  • Proficiency in Microsoft Office Word, PowerPoint and Excel programs is preferred
  • SAP Proficiency is preferred
