Job Description - Senior Office Manager

McMahon’s Best-One is a family owned company that has been in business in Fort Wayne since 1969. Here at McMahon's Best-One, we are committed to our customers, the services we provide, our local community and to our fantastic employees. 

Currently, we are looking for a Senior Office Manager to join our family. When you join our team, you become part of the McMahon family and the fun fast paced environment we provide.

Our Senior Office Manager will be responsible for overseeing the daily operations of the office and ensuring a productive and organized work environment. This role involves managing the administrative staff for payables, receivables, national accounts and billing and will act as backup to these roles.

Essential Functions

  • Supervise and support administrative staff.
  • Recruit, interview, and select employees.
  • Train or instruct employees in job duties or company policies.
  • Evaluate employees' job performance and conformance to regulations and recommend appropriate personnel action.
  • Resolve escalated administrative issues and conflicts
  • Ensure proper documentation and filing systems
  • Oversee office maintenance, supplies, and equipment to ensure smooth daily operations.
  • Develop and implement office policies, procedures, and systems to improve efficiency.
  • Manage vendor relationships and negotiate contracts for office services and supplies.
  • Monitor and control office budgets and expenses.
  • Handle confidential information with integrity and discretion.
  • Act as a backup to the supervised positions.
  • Perform additional duties as assigned.

Position Qualifications:

  • Proven experience in office management or administrative leadership
  • Strong leadership and organizational skills.
  • Excellent communication and interpersonal abilities.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Problem-solving skills and attention to detail.

Physical Demands / Work Environment:

  • Occasionally lift up to 10 pounds at times.
  • Prolonged periods sitting at a desk and working on a computer.
  • Squatting, bending, and twisting
  • Work in environment temperatures range from hot to cold, depending on the season.
  • Vision (Near, distance, Color, Peripheral, Depth Perception)
  • Sense of sound (Ringing telephones, alarms, horns and motorized equipment)

Education:

High School Diploma or equivalent

Experience:

Minimum 3 years previous work-related skill, knowledge, or experience is required

Certifications/Licenses:

Valid driver’s license; driving record must meet company’s insurance requirements

Computer:

Proficiency in MS Office and office management software.
