The Senior Payroll Specialist is responsible for managing and processing the company's payroll operations to ensure employees are paid accurately and on time. This role involves handling complex payroll tasks, ensuring compliance with federal and state regulations, and providing support and guidance to the payroll team. The Senior Payroll Specialist will also play a key role in identifying process improvements and implementing best practices.
Key Responsibilities:
Payroll Processing: Manage end-to-end payroll processing for all employees, including calculating wages, deductions, and overtime. Ensure payroll is processed in an accurate, compliant, and timely manner.
Internal Cross Training: Work together with the payroll manager and payroll team to ensure cross training is complete for all internal processes and systems (SPIFF, SalesForce and Paylocity). Determine regular intervals of time to maintain knowledge of processes.
General Ledger Support: Work with the finance team and payroll manager to understand the impact payroll has to the general ledger. Help define processes and communications to the team to assist with payroll details.
Compliance: Maintain up-to-date knowledge of federal, state, and local payroll laws and regulations. Ensure compliance with all applicable laws and company policies.
Reporting: Prepare and maintain accurate payroll records and reports. Provide detailed payroll data and reports to management as required.
Auditing: Conduct regular audits of payroll data to ensure accuracy and identify discrepancies. Resolve any payroll issues or errors promptly.
System Maintenance: Manage employee data, ensuring data integrity and system functionality. Work with Payroll Manager to collaborate with IT and vendors on system updates and improvements.
Tax Filings: Assist in the preparation and filing of payroll tax returns and related documentation. Ensure accurate calculation and timely payment of payroll taxes.
Employee Support: Serve as a point of contact for payroll-related inquiries. Provide support and guidance to employees on payroll matters, including pay discrepancies and understanding pay statements.
Process Improvement: Identify opportunities for process improvements and implement changes to increase efficiency and accuracy within the payroll function.
Mentorship: Provide guidance and training to junior payroll staff. Act as a mentor to team members, sharing knowledge and expertise.
Requirements
Education: Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
Experience: Minimum of 5 years of experience in payroll processing, with at least 2 years in a senior or lead role. Experience with multi-state payroll and tax compliance is a plus.
Technical Skills: Proficiency in payroll software (e.g., Paylocity, ADP, Paycom, Workday) and Microsoft Office Suite, especially Excel. Familiarity with HRIS systems is preferred.
Knowledge: Strong understanding of payroll laws, regulations, and best practices. Experience with payroll tax filings and compliance.
Soft Skills: Excellent attention to detail, strong customer service focus, strong analytical skills, and the ability to handle confidential information with discretion. Strong communication and interpersonal skills.
Problem-Solving: Ability to identify and resolve payroll issues efficiently. Demonstrated ability to work under pressure and meet deadlines.
