Job Summary: 

The Senior Site Support Specialist provides high-level administrative and operational support to senior leadership and program teams, ensuring the smooth execution of daily activities and long-term initiatives across the National Visa Center. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Responsibilities include leadership and oversight of additional administrative staff, coordinating meetings and events, preparing reports and correspondence, maintaining records and calendars, and serving as a liaison between departments and external stakeholders. The ideal candidate demonstrates professionalism, discretion, and a proactive approach to problem-solving, while upholding the highest standards of confidentiality and efficiency. 

This is an on-site position. You must live within 90 miles of the National Visa Center, located in Portsmouth, New Hampshire, to be considered. 

In this role you will:

  • Provide high-level administrative and operational support to the Center senior leadership team, managing a broad range of complex tasks with minimal supervision 
  • Provide leadership, oversight and direction to Site Support Specialist as needed to ensure completion of administrative task work 
  • Design and maintain advanced spreadsheets and databases to track key performance indicators, analyze trends, and proactively resolve data discrepancies in collaboration with cross-functional teams 
  • Produce, edit, and format professional correspondence, reports, and presentations using Microsoft Office Suite, ensuring clarity, accuracy, and alignment with organizational standards 
  • Lead the coordination and consolidation of program documentation and reports, ensuring logical structure, content accuracy, and timely delivery under tight deadlines 
  • Interpret and apply organizational policies, procedures, and guidelines to assess the impact of proposed changes and provide informed recommendations 
  • Support program governance by reviewing and updating standard operating procedures (SOPs), maintaining current organizational charts, and tracking personnel changes 
  • Manage a comprehensive master calendar of program activities, including meetings, travel, and reporting deadlines, identifying and resolving scheduling conflicts proactively 
  • Oversee the intake and distribution of incoming communications, ensuring timely routing and appropriate follow-up 
  • Prepare and dispatch outgoing correspondence, including formal letters, emails, and packages, maintaining professionalism and confidentiality 
  • Coordinate logistics for virtual and in-person meetings, including conference calls, facility reservations, security clearance, and visitor accommodations 
  • Develop meeting agendas, arrange catering, and ensure seamless execution of events and stakeholder engagements 
  • Welcome and host visitors, ensuring a professional and accommodating experience aligned with organizational protocols 
  • Attend meetings to document minutes, track action items, and follow up on outstanding issues to ensure resolution and accountability 
  • Provide mentorship and guidance to junior administrative staff, fostering a collaborative and efficient work environment 
  • Perform additional duties and special projects assigned, demonstrating flexibility and a proactive approach to problem-solving 

Requirements

 

Your minimum qualifications to be a Senior Site Support Specialist: 

  • Four (4) years of business administration experience 
  • High School Diploma or G.E.D. equivalent 
  • Must successfully complete a comprehensive criminal and credit history background investigation 
  • Must be a U.S. citizen and eligible to obtain and maintain a SECRET-level security clearance in accordance with federal regulations 
  • Demonstrate a high level of professionalism, discretion, and ethical conduct in all interactions and responsibilities 
  • Must be able to pass a computer-based skills assessment with a minimum score of 85% and a minimum of 30 words per minute with 85% accuracy. 

 

Your knowledge of the following is also required: 

  • Office Administration: In-depth understanding of administrative and clerical procedures, systems, and terminology 
  • Document Management: Knowledge of document preparation, formatting, and version control 
  • Organizational Policies: Familiarity with internal policies, procedures, and compliance requirements 
  • Meeting and Event Coordination: Understanding logistics planning, scheduling, and resource coordination 
  • Records Management: Knowledge of filing systems (electronic and physical), archiving, and data retention policies 
  • Technology Tools: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), virtual meeting platforms (e.g., Teams, Zoom), and office equipment 
  • Communication: Strong written and verbal communication skills, including professional email and report writing 
  • Time Management: Ability to prioritize tasks, manage multiple deadlines, and adapt to shifting priorities 
  • Problem-Solving: Skilled in identifying issues, proposing solutions, and following through to resolution 
  • Attention to Detail: High level of accuracy in data entry, proofreading, and document preparation 
  • Interpersonal Skills: Ability to interact professionally with all levels of staff, leadership, and external stakeholders 
  • Discretion and Confidentiality: Skilled in handling sensitive information with integrity and professionalism 
  • Project Coordination: Ability to support or lead small projects, track milestones, and ensure timely completion 
  • Work Independently: Capable of performing duties with minimal supervision and exercising sound judgment 
  • Multitask Effectively: Ability to manage competing priorities in a fast-paced environment 
  • Adapt to Change: Comfortable with evolving responsibilities and organizational changes 
  • Learn New Systems: Ability to quickly learn and adapt to new software, tools, and processes 
  • Maintain Professionalism: Demonstrates a high level of professionalism, reliability, and accountability 
  • Collaborate Across Teams: Works effectively in cross-functional teams and supports team goals

Specific vision abilities may be required to perform the job which may include close vision, distance vision, color vision, peripheral vision, depth perception, or the ability to adjust focus.  

Work Environment: You will primarily work in an office environment but may be required to work in other work environments as well.
