Job Description - Service Administrator


Summary/Objective:

Under the direct supervision of the Branch Manager, this position provides administrative support for the Service and Construction departments.

Essential Job Functions:

  • Review Service Tickets for billing accuracy.
  • Enter time worked for Service Technicians and Construction personnel in Great Plains – Time Track software.
  • Close out Gilbarco/Warranty claims.
  • Issue and receive Purchase Orders.
  • Commission/Register new equipment installed.
  • Review denied/past-due invoices.
  • Obtain multiple trip approval for billing purposes.
  • Assist construction manager with ordering equipment, setting up jobs and reviewing jobs for close out.

Additional Eligibility Qualifications:

  • Strong attention to detail.
  • Good knowledge of Excel/MS Office.
  • Good at multitasking and prioritization.
  • Excellent verbal and written communication skills required.
  • Excellent interpersonal skills required.
  • Self-starter with focus on process improvement.
  • Great Plains experience a plus.
  • Related work experience in service dispatching strongly.

Supervisory Responsibility:

This position has no direct supervisory responsibilities, but may serve as a coach and mentor for other positions within the company.


Requirements

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands:

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

Position Type/Expected Hours of Work:

Standard Office hours are Monday- Friday 8-5 PM.

Travel:

Local travel into the branch is expected.

Required Education and Experience:

High school diploma/GED required.

Work Authorization/Security Clearance:

US Work Authorization is required.
