Job Description - Service Advisor

Description

Responsible for opening and closing all repair relevant orders (warranty to be closed centrally) Work to assemble and complete paperwork for repairs to vehicles and equipment. Work involves ability to communicate effectively with customers, parts department personnel, sales department and warranty, to use initiative to process repair information and billings to customers.

Principal Duties and Responsibilities (Essential Functions):

  • Answer telephone service inquiries. Assist customers with their needs and treat them with professionalism, courtesy, respect and in accordance with dealership policies.
  • Write up Repair Orders by asking good diagnostic questions to identify customer needs/concerns and record accurately. Enter all incoming repair orders into i360 system. Identify repair orders that require special handling such as rush orders, customer waiting, special problems, etc.
  • Review repair orders: have all the necessary paperwork compiled, attached warranty details, keys attached etc.
  • Responsible for customers repair from beginning to close.
  • Handle paperwork (i.e. estimate authority, billings, order sheets, invoices).
  • Schedules all incoming work and informs appropriate parties.
  • Complete paperwork for repair orders, record all information, provide estimate of completion date.
  • Review repair orders to ensure correct billing, shipping instructions and applicable purchase order number.
  • Obtain credit department approvals of open account billing and obtain other payment arrangements for customer.
  • Follow-up with customers on work in process on a daily basis.
  • Close repair orders within 3 days.

· *Cash customers MUST secure payment & close before release*

  • Regular attendance is an essential function of the job.
  • Performs other duties as assigned.
  • While performing the duties of this job, the employee is frequently required to communicate with customers and must be able to exchange accurate information.
  • Requires standing for extended period of time with frequent stretching, reaching, walking and stooping, pushing and/or pulling.
