SUMMARY: With supervision, coordinates the scheduling of an on campus and off campus service delivery and the maintenance, retrieval, storage, and dissemination, of student related information using special education software.
ACCOUNTABILITIES:
Essential Functions:
1. Serves as point of contact for parents and outside agencies
2. Serves as system administrator/software manager for Maryland On-line IEP and Ready for Kindergarten (R4K) programs, Student Information Software modules (including teacher gradebook and portals), and required OSSE (District of Columbia) programs.
3. Trains staff on use and implementation of above programs
4. Serves as IEP coordinator for document management, weekly IEP reviews, and proper notification of meetings to parents/LEA/agencies
5. Serves as registrar (maintains current and former student records, ensuring the accuracy and confidentiality of that information; oversees requests for student records; manages student registration and new student enrollment; reviews and disseminates student transcripts and quarterly report cards)
6. Works closely with Principals on the set up and maintenance of student courses in the student information system
7. Oversees proper management of student attendance in the student information systems for MSB and OSSE
8. Completes Maryland Federal and State reporting including Civil Rights Data Collection reporting
9. Assists with state data and IEP compliance/monitoring requirements
10. Attends MSDE Maryland Online IEP Workgroup and Data Manager sessions and OSSE non-public webinars
11. Compiles, disseminates, and coordinates responses to requests for statistical information both within the school and to outside agencies.
12. Coordinates student awards
13. Coordinates and manages student picture day; maintains photos in the student information system.
Marginal Functions:
1. Performs additional duties as assigned.
CONDITIONS:
Equipment Used: Personal computer, multiline telephone, copy machine.
Performance Standard: Assures that information disseminated is accurate and timely, and that services are scheduled reliably and appropriately.
Work Environment: Standard office conditions with a variety of sound, lighting, and temperature conditions.
Work Schedule: 37-l/2 hours per week, Monday through Friday, with a daily 1-hour unpaid lunch period. Flextime scheduling is occasionally required. This position follows a 12-month school schedule.

Qualifications:
1. Comprehensive knowledge of the use of computerized data processing systems to facilitate scheduling and information organizing activities.
2. Comprehensive knowledge of the IEP process and requirements
3. General knowledge of customer service concepts.
4. General knowledge of word processing, filing, and record maintenance.
5. General knowledge in the area of compliance with State and federal regulations for Special Education.
After 6 months in the position, the employee is required to have:
1. Comprehensive knowledge of School developed data processing and information systems.
2. Comprehensive knowledge of the services that are available through the school.
3. General knowledge of liaison personnel from LEA’s and other community agencies.
