We are seeking a highly skilled, detail-oriented, and tech-savvy Service & Operations Specialist to join our team and play a vital role in maintaining and improving our operational excellence.
Position Overview
We’re looking for a proactive, self-motivated individual with a strong background in employee benefits (preferably from a benefits agency environment), who excels in high-volume, fast-paced settings. This role requires a unique blend of service, marketing, and operational project management expertise—someone who thrives on juggling multiple tasks with precision and is passionate about streamlining processes using Excel, AI, and automation tools.
Key Responsibilities
Benefits Service & Marketing Support
Serve as a client-facing and internal support resource for employee benefits tasks including renewals, enrollments, and client service resolution.
Assist with gathering, formatting, and presenting benefit quotes and proposals.
Coordinate carrier marketing and RFP processes from start to finish.
Ensure timely and accurate completion of open enrollment, implementation, and service-related tasks.
Maintain benefits compliance documentation and reporting schedules.
Operations & Project Management
Support operational projects including CRM implementation and management, process improvement, and internal initiatives.
Coordinate logistics and administration of continuing education, internal team training, and licensing renewals.
Create and manage ongoing updates to SOP documentation across all three business lines.
Tech & Automation Enablement
Build and maintain detailed Excel workbooks, trackers, and automation-friendly templates.
Utilize AI tools to streamline workflows, reduce manual work, and increase efficiency.
Actively identify and implement automation opportunities to enhance team productivity and data integrity.
Requirements
Key Qualifications
2-3 years of experience in a benefits agency or brokerage environment is required.
Advanced proficiency in Microsoft Excel, including VLOOKUPs, pivot tables, index matching, conditional formatting, and formulas is required.
Hands-on experience with CRM systems and project management tools
Demonstrated ability to work independently, handle multiple priorities, and meet deadlines in a high-volume environment.
High attention to detail and a proactive approach to problem-solving.
Strong communication skills and ability to collaborate cross-functionally in a virtual environment.
