Summary:
The Service Coordinator coordinates service calls on short duration specialty electrical jobs. Responsibilities include responding to customer and electrician inquiries, assisting with the tracking of opportunities and job progress, providing quotes to customers, monitoring costs, and assisting with permits.
What You'll Do:
Respond to Inquiries from Customers and Service Electricians:
- Organize and redistribute information provided by customers to an appropriate person to answer the question or complete the task. (e.g. set up service call, provide proposal, or pass project off to a PM)
Track Opportunities
- Input, update, and maintain customer information for all opportunities in tracking software (Building Connected, Salesforce, or similar).
- Assist Service Manager to produce proposals up to approx $25k. Assign larger, more complex jobs to a project manager to estimate.
- Assist Service Manager with updating and maintaining daily service schedule.
Manage Project Progression:
- Open job numbers for projects in Business Central, generate a work order and assign a service tech to complete.
- Enter and update budgets for all bid projects in Business Central.
- Monitor budgets, notify team leader of potential or actual cost overruns.
- Assure work on projects is progressing timely and reassign technicians as needed
- Provide billing information to project accounting team.
- Collaborate with Purchasing to reconcile commitments and close projects.
Assist with Payroll:
- Provide service electricians with 998 numbers for jobs.
- Provide access to technician’s job numbers in Riskcast. Monitor and approve service electricians time entered in time-keeping system (Riskcast).
Support the Administration of Electrical Permits:
- Receive, review, and prepare service permits for submission.
- Obtain missing permit information to complete a permit for submission.
- Schedule final inspections.
What You’ll Need for Success
- High school diploma required; Associate degree preferred
- 3–5 years of experience in project or field service coordination (electrical construction experience is a plus)
- Strong math skills and analytical thinking
- Excellent customer service orientation and collaboration abilities
- Proficient in Microsoft Office (Outlook, Excel, Word); experience with Bluebeam, Salesforce, or Plangrid is a plus
- Detail-oriented with strong organizational and multitasking skills
- Able to manage competing priorities and maintain accurate digital and physical records
