Icon Air is seeking a customer-focused, detail-driven, and positive Schedule Coordinator to join our team!
Position Details:
Hours: Monday–Friday, 7:30AM – 4:00 PM
Status: Full-time, 40 hours per week
As the first point of contact for our homeowners, you’ll play a vital role in ensuring every customer feels valued and taken care of. From answering calls to scheduling service appointments, your excellent communication and problem-solving skills will create a smooth, stress-free experience for our customers.
Working closely with our Service Manager and Service Technicians, you’ll help coordinate a high volume of service calls, installations, and work orders—always with the goal of keeping homeowners informed and satisfied.

What You’ll Be Doing
Coordinate and manage daily schedules for service personnel to ensure timely completion of all jobs.
Maintain accurate customer records and service databases.
Communicate clearly and professionally with homeowners, the CBH warranty team, service technicians, managers, supervisors, and office staff—answering calls promptly and following up on emails and messages without delay.
Deliver a positive, responsive experience for every homeowner.
Document each work order with thorough notes and well-organized electronic files.
Prepare and maintain complete, accurate paperwork to support service operations.
Order, track, and bill for services with accuracy and efficiency.
Cross-train with other staff and the Service Manager to ensure smooth support when needed.
What You Bring to the Table
A team-first mindset and collaborative spirit.
Strong customer service focus with excellent people skills.
Ability to prioritize tasks, stay organized, and manage multiple deadlines at once.
Problem-solving skills with the ability to think on your feet.
Positive, professional communication—both verbal and written.
Experience in construction, HVAC, or facility management preferred (not required).
Knowledge of windows, service procedures, or installation processes is a plus.
Proficiency in Google Workspace (Docs, Sheets, etc).
A detail-oriented, self-motivated attitude with a drive to get things done right.
A positive outlook that helps create a great team environment.
