Job Description - Service Dispatcher

Service Dispatcher / Customer Service Coordinator
Pay $18-$21 an hour
Location: Newport News, VA
Primary Responsibilities

Customer Service & Dispatch
  • Answer incoming service calls promptly and professionally (multi-line phone system).
  • Schedule all service requests within 24 hours and ensure timely technician response.
  • Keep customers updated on technician status and response times.
  • Maintain and update the dispatch board daily.
  • Follow up on unscheduled or open service requests.
  • Schedule surveys, warranty calls, start-ups, preventive maintenance, and quoted repair work.
  • Perform customer satisfaction calls as assigned.
  • Address customer concerns immediately and escalate when necessary.

Work Order Management
  • Create and verify accurate work orders, including customer details and cost coding.
  • Complete new customer setup and confirm payment method for first service.
  • Review open call lists weekly to ensure all calls are assigned and scheduled.
  • Provide daily paperwork to billing for processing.
  • Update customer portals as required.

Scheduling & Productivity
  • Assign technicians based on skill level, location, priority, and customer needs.
  • Coordinate with sales/estimating teams to ensure technicians have required parts and job details.
  • Ensure preventive maintenance and service agreements are completed on schedule.
  • Provide technicians with daily schedules for the following workday.
  • Monitor technician performance and report concerns to management.

Teamwork & Communication
  • Maintain strong communication with customers, technicians, and internal departments.
  • Support office staff as needed and contribute to process improvements.
  • Demonstrate professionalism, organization, and a team-oriented mindset.

Safety & Compliance
  • Promote safe work practices in the office and field.
  • Coordinate construction warranty calls per established procedures.

Qualifications
  • High School Diploma or GED required.
  • Minimum two years of data entry or administrative experience.
  • Proficient in Microsoft Outlook, Word, Excel, and service management software.
  • Strong organizational and communication skills.
  • Ability to prepare reports and communicate effectively with customers and field staff.

Working Hours: 7:00 AM - 4:00 PM
