The primary objective of the Shelter Coordinator is to work under the guidance and supervision of the Director of Shelter Operations, and in close collaboration with the Shelter Operations Manager. The position provides a wide variety of shelter-related activities to serve guests who are chronically homeless, situationally homeless, or experiencing housing instability. This is a flexible and adaptable role that directly engages with guests, Year-Round and seasonal shelter staff, community partners, and volunteers. The position requires somebody with leadership skills to navigate often difficult situations. Professionalism and a dedication to working at both the Men’s and Women’s Shelters, while serving and interacting with those experiencing homelessness are essential to be successful in this role. The position requires the ability to work evenings, overnights, and weekends as needed throughout the year, but especially during the shelter season from November 1 to April 30.
Roles and Responsibilities:
Under the direction of the Director of Shelter Operations
Inventories shelter supplies and coordinates ordering of needed items, and requests to have items added to donation Wish List
As the organization’s primary CaseWorthy administrator, leads and facilitates the following efforts:
Trains and provides support to shelter staff, case managers, security staff, office managers, and all other relevant employees
Fields staff questions and troubleshoots problems
Functions as the organization’s primary contact with CaseWorthy support, initiates tickets for support, and resolves errors
Prepares CaseWorthy for new shelter season and closes out previous season
Enters case notes into CaseWorthy for notable guest interactions
Assists and serves as the organization’s primary backup in all facets of the Homeless Management Information System (Clarity), and by doing so helps to:
Ensure shelter attendance is entered into Clarity in a timely manner
Communicate necessary data and reports from Clarity to the Community Engagement Team
Function as a resource to all employees who engage in Clarity
Represent St. John’s Ministries in community groups and discussions regarding Clarity
Enter data into regional, state, and national Homeless Management Information Systems as needed
Assists in a wide variety of tasks in preparation for the start of shelter season, as well as the continual functioning of effective shelter services throughout the season, including preparing rooms, bunks, bedding, medication room, inventorying supplies, etc.
Shelter Operations
Oversees the proper recycling of guest belongings when they are not actively in shelter, or are exited
Develops and implements procedures to maintain shelter cleanliness, and collaborates with the Director of Facilities as appropriate
Reviews and maintains guest chore lists to ensure guests responsibilities are delegated and shelter cleanliness is kept
Collaborates with office managers, case managers, shelter leadership, and security leadership in the development, implementation, and communication of shelter policies and procedures
Maintains a flexible work schedule, including working evenings, weekends, overnights, and some holiday shifts
Assists Director of Shelter Operations with shelter scheduling, and oversees shelter schedules when Director of Shelter Operations is unavailable
Assists in overseeing shelter Drop-In days from May 1 to October 31, and ensures proper staff coverage at both shelters
Works occasional overnight shifts for the Summer Safe Sleep program
Staff Support
Collaborates with office managers, case managers, shelter leadership, and security leadership in the development, implementation, and communication of shelter policies and procedures
Participates in planning and implementation of staff training
During pre-season staff training, leads training on CaseWorthy and assists in other areas assigned by Director of Shelter Operations
Assists staff with continued CaseWorthy training throughout the season as needed
Coordinates training of staff hired in-season. Specifically conducts one-on-one training on CaseWorthy
Regularly attends shelter shift meetings
Other Duties
Functions as primary point of contact for shelter issues while Director of Shelter Operations and Shelter Operations Manager are away
Assists with Intake procedures and communicates such to staff and guests
Assists in coordinating and communicating guest-related information to shelter staff
Attends mandatory meetings and training sessions
Reads all shift notes and responds to emails daily
Assists Director of Security, and Director of Shelter Operations with guest exit decisions
Monitors and reviews security camera footage to determine security risks and proper responses
Builds and maintains rapport with shelter guests

Education, Qualifications, Skills, and Abilities:
Minimum of a High School Diploma
Associate degree or vocational training in human services, a security-related field, or management preferred
Demonstrated ability to proactively take charge of situations and exercise appropriate judgment in guest-related situations
Experience working with mental health, substance abuse, low income, and/or homeless populations preferred
At least one year or one season of experience working in a homeless shelter
Must have excellent written and verbal communication skills
Must have good computer skills and be proficient using MS Office as well as other software products
Ability to establish and maintain professional boundaries with guests, volunteers, and co-workers
Physical Demands:
Work Location: Spend significant time at the work location with extensive walking, lifting, and carrying materials up to 20 lbs.
Computer Use: Perform administrative tasks involving typing and computer use.
Work Environment:
Professional Setting: Operate in a professional office environment using standard office equipment.
Safety Protocols: Follow safety protocols, including the use of PPE, to minimize health risks.
Supplies: Cleaning supplies are utilized to help prevent the spread of cold and flu viruses, ensuring a healthier environment for everyone.
